JOB TITLE: Executive Assistant

LOCATION: Washington Navy Yard, Washington, DC

JOB CATEGORY: Full-Time

SECURITY CLEARANCE: Must possess or be able to obtain a Department of Defense (DoD) security clearance.

COMPENSATION: Salary at Patrona Corporation is determined by a range of factors such as location, the individual's particular combination of education, knowledge, skills, competencies, and experience, as well as contract-specific affordability and organizational requirements. The salary range or hourly rate displayed represents the typical salary range or hourly rate for this position and is just one component of Patrona Corporation's total compensation package for employees.

EDUCATION AND EXPERIENCE REQUIREMENTS:

  • High School Diploma.
  • Bachelor's level degree or equivalent experience in a business or technical field highly desired.
  • Five (5) plus years of experience providing executive level front office administrative support to senior military, government, and/or civilian executives.
  • Experience with Defense Travel System (DTS), Navy security procedures, Navy correspondence, Navy records management, and DON Tracker.
  • Experience/knowledge with Navy Submarine Programs.
  • Experience working within Naval Sea Systems Command.
  • Active duty enlisted, junior officer, military executive assistant/action officer, or flag writer a significant plus.
  • NAVSEA experience a significant plus.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Serves as a central point of contact for internal and external stakeholders to address complex inquiries, usually on short notice, that potentially require multiple sources of data and cross-organizational responses.
  • Works independently, receiving a minimum of detailed guidance.
  • Performs varied clerical and administrative duties requiring knowledge of office routine and an understanding of the organization, programs, and procedures related to the work of the office.
  • Handles differing situations, problems, and deviations in the work office according to general instructions, priorities, duties, policies, and program goals.
  • May assist with special assignments, studies, or actions.
  • Analyzes and monitors task/schedule/project progress and health to achieve objectives timely and effectively.
  • Provides review and follow-up of organization directed assignments and assures organizational goals, objectives, and deadlines are met.
  • Advises management on best course of action to take for accomplishing established goals.
  • Employs programmatic and operational review/evaluation techniques and methods necessary to advise senior level officials of major issues and concerns and formulate recommendations.
  • Devises methods for securing required information.
  • Identifies and implements best practices.
  • Provides exceptional oral and written communication skills in order to serve as voice on behalf of senior level officials.
  • Facilitates communication and action management at multiple levels, ensuring actions remain on track with established deadlines.
  • Maintains a close and highly responsive relationship to the day-to-day activities of the office and directorate.
  • Performs a variety of administrative and action management duties and responsibilities requiring knowledge of office routine and an understanding of the organization, programs, and procedures related to the work of the office including, but not limited to, the following based on overall organizational needs:
    1. Strategic communications, public affairs, information technology, financial analysis, human resources, workforce development and culture, and ceremonials.
    2. Skills in office management and administrative operation requirements, strategies, techniques, and activities to manage numerous complex and competing priorities.

SKILLS AND ABILITIES:

  • Must be proficient in MS Office Suite.
  • Must have excellent oral and written communication skills.
  • Must have excellent organizational skills.
  • Must show attention to detail and the ability to manage multiple duties/tasks simultaneously while meeting deadlines.
  • Must have the ability to work independently and in collaborative teams and to adjust schedule to address workload demands,
