The Global Health Division (GHD), within the International Development Group (IDG), works in Malaria and Neglected Tropical Diseases (NTDs); Global Health Security and Public Health Preparedness; Health Systems Strengthening - including Health Governance, Health Finance, Human Resources for Health, Capacity Building, and Health Policy and Advocacy; and Integrated Care - including Reproductive, Maternal, and Child Health and Family Planning. We address a range of public health problems to reduce disparities, lower disease burdens, and build locally owned sustainable health programs.

The GHD is seeking a Program Operations Associate to serve under USAID's Act to End NTDs | East Program as the Program Director's right hand and assisting program leadership by providing detail-oriented and timely administrative support to operations including meetings, workshop coordination and logistics, travel, procurement, and oversight for vendors and suppliers.

This will be a 3-month contract position with the possibility of employment extension and will be based in RTI's Washington, DC office. The position may be expected to travel (domestic or internationally) up to 10% of the time and will report to the Operations Lead. Candidates must be authorized to work in the United States without sponsorship.

The employment contract is administered by HR Directions, Powered by Array, RTI's supplemental staffing partner.


Responsibilities

Project Administrative Support

  • Provide responsive professional administrative support to the Program Director and program portfolio, with excellent attention to detail and a high level of autonomy. Anticipate and proactively address the Director's and program's administrative needs.
  • Contribute to the preparation of Act | East deliverables and work products, including fixed amount awards, DEC upload compliance, etc.
  • Manage and maintain program listservs, site permissions, home office asset tracking, etc.
  • Review, negotiate, and process vendor and consultant contracts. Serve as the RTI point-of-contact for certain program consultants, suppliers, and vendors. Support prompt invoice review and payment.
  • Directly support Program Director and consultants' domestic and international travel arrangements and expense reporting. Support capacity strengthening of program staff's compliant travel and expense reporting.
  • Maintain program's international travel tracker and maintain client approval records.
  • Provide other administrative duties as required.

Meeting Management

  • Lead logistics planning and implementation for large domestic and international meetings/workshops/webinars with high level global participants, in compliance with client and RTI requirements. This includes tracking travel and visa logistics, managing internal and participant communications, and procuring venue, catering, and IT/AV.
  • Provide full range of administrative and operational support to high profile meetings, workshops, and webinars.

Qualifications

Education and Experience

  • Bachelor's degree in relevant social science discipline with 1 year of relevant work experience in program support, administration, event management and other related activities.

Knowledge, Skills, and Abilities

  • Must have strong organizational skills and be detail and deadline oriented.
  • Must be a self-starter, proactive, and work nimbly to meet changing deadlines and demands with a high level of professionalism.
  • Must have excellent interpersonal and communication (both written and verbal) skills.
  • Must be able to work effectively with staff at all levels and across different cultures.
  • Must have strong Microsoft Office Suite skills. Experience with SharePoint and conferencing systems preferred.
