Note: APA operates on a 37.5-hour work week with one hour lunch breaks each day. APA sets salaries based on several considerations, including years of relevant experience, level of education, and previous staff and/or governance experience at APA.

DESCRIPTION:

The Manager of Science Operations supports the management of the Science Directorate by implementing systems, procedures, and policies, and coordinating the administrative work for the Directorate.

EDUCATION AND EXPERIENCE REQIIRED:

  • Bachelor's degree required. Psychology or related field preferred.
  • A minimum of 5 years work experience that requires independent decision making and the ability to create solutions to complex challenges.
  • Experience demonstrating strong administrative, organizational, and time management.
  • Skills and the ability to handle multiple projects, from multiple staff, while maintaining and accurately reflecting priorities.
  • Demonstrated ability to work collaboratively with others.
  • Superior problem-solving skills
  • Demonstrates excellent communications, proof reading, and editing skills.

COMPUTER SKILLS:

  • Microsoft Excel (Advanced User)
  • Microsoft Word (Advanced user)
  • Microsoft PowerPoint (Advanced User)
  • Microsoft Outlook (Advanced User)
  • Virtual meeting technology (User)

RESPONSIBILITIES:

The incumbent performs the activities listed below for staff members of the Science Directorate, as assigned by and under the formal supervision of the Deputy Chief Scientific Officer. The Deputy Chief Scientific Officer may informally delegate functional supervisory responsibility to other senior staff in the Science Directorate.

The person in this position must be able to exercise sound and mature judgment in carrying out his/her responsibilities and display an exceptional ability to follow the status of projects and help ensure activities are being carried out in an efficient and effective manner. This person must be able to provide clear guidance to staff regarding office policies and procedures. It is important that the incumbent be flexible to changing needs and priorities as well as be able to trouble-shoot and anticipate potential problems.

Coordinating, programmatic, and administrative support includes:

  • Drafting routine correspondence
  • Developing, distributing, and routing materials
  • Copy editing documents.
  • Liaising with other APA offices to facilitate work of Science Directorate staff.
  • Communicating due dates and requests for information (within and outside of the Directorate).
  • Monitoring Science Directorate webpages to ensure they are current and accurate.
  • Assisting with the coordination of Directorate events (webinars and in person meetings), including the APA annual convention. This includes working with the Convention Office to arrange logistics for these meeting activities.
  • Managing room and space reservations and catering for all meetings.
  • Assisting staff and external meeting participants with travel logistics/reimbursements
  • Creating and tracking meeting logistics and financials and submitting in a timely manner to the appropriate APA staff or office.
  • In addition to carrying out the above activities, helps triage requests from staff for administrative support.
  • Provides other support as needed for Science Directorate stability and growth.
  • Other Duties as Assigned.
