Academy Program Manager - Medical Assistant and Practice Coordinator

Job Summary

Reporting to the Director, Ambulatory Strategic Initiatives, Faculty Practice Operations and Ambulatory Services, this position is responsible for supporting the Practice Coordinator (PC) and Medical Assistant (MA) Academy training and development programs. This position will lead cross-functional ambulatory teams and will interface with several departments across the health system, including Human Resources, Learning and Development and Ambulatory clinic operations and will assist leadership with ongoing implementation, optimization, and scale of the Academy programs. Examples of functions include, but are not limited to:

  • Developing and maintaining the monthly Academy schedule and sessions
  • Managing enrollment in the programs
  • Scheduling and conducting weekly check-ins with clinic leadership.
  • Sustaining and supporting scale of the training and centralized hiring process
  • Administering and analyzing feedback surveys to clinic leadership and to program participants on the identified cadence
  • Leading designated sessions in the training program
  • Tracking program impact and opportunities to expand training offering.
  • Coordination and follow-up with clinic teams/hiring managers.
  • Support preceptor training
  • Check-ins with participants, managers, and preceptors
  • Collaborate with the Director to develop program expansion plans, as appropriate (i.e., modified training for internal employees)
  • Special Projects and other programs as determined.

Required Qualifications

  • Bachelor's degree or four years of relevant experience.
  • Three years of relevant experience.
  • Knowledge of medical assistant and practice coordinator standard clinical work.
  • Bachelor's degree in related area and / or equivalent experience / training.
  • The ability to work onsite in San Francisco when needed.

Preferred Qualifications

  • Skilled in facilitation, consulting and relationship building.
  • Possesses effective verbal and written communication skills.
  • Demonstrates ability to learn quickly, reason, synthesize and generalize based on information obtained.
  • Ability to focus on priorities, strategies, and vision.
  • Ability to coach, facilitate, and influence people.
  • Has thorough knowledge of the organizational development and effectiveness field, theories, models to assess, design and implement customized organizational interventions.
  • Demonstrates analytical, problem-solving, project planning and implementation skills.
  • Medical Assistant Certification.
