Administrative Assistant
Rockville, Maryland

MUST:
Experienced Administrative Assistant
Must have 3 plus years of experience as an Administrative Assistant

Must have experience within finance and/or accounting
Must have strong experience working with Microsoft Office Suite
Must be an expert Microsoft Excel create charts, tables, data entry, database skills, and Filters/sorts etc.
Must have experience tracking company expenses
Must have experience tracking company expenses
Must have experience sending out and reviewing invoices
Must have high attention to detail
Must have strong verbal and written communication skills
Pivot tables experience highly preferred

Working in a medical office extremely helpful



DUTIES:
Administrative Assistant will be responsible for, but not limited to the following:
Accurately prepare a variety of financial reports and analysis
Meticulously prepare account reconciliations and identify errors
Maintain ledgers for fixed assets and a variety of other ledgers
Send bills to various entities, track payments and ensure payments are according to contracted rates
Track and maintain required documentation for Human Resources
Ordering supplies including following up with office locations to ensure timely delivery and verifying bills prior to submission to A/P for payment
Check on arrival of and logging in packing slips
Ordering furniture and equipment etc. for offices
Assisting with scheduling the office set up of phone, gas, electric, shredding companies, etc. for new locations
Scheduling shredding companies for all locations and confirming pick-ups with invoices
Monitor Services and Deliveries
Filing Paid bills, participant payments to Research patients
Postage Meter maintenance and updates; certified mail as needed
Answering phones
Handle incoming and outgoing mail
Ensuring insurance company payments and patient responsibility payments are sent to the lockbox and all other payments are reviewed
Sorting and delivering mail internally
Verifying incoming bills and distribute to where they need to go
Assist with HR disclosures such as COBRA statements, 401k updates, I-9 Forms etc.
Assist with handling new hire packets
Update spreadsheets as needed
Maintain employee directory for employees and doctors
Organize catering, coffee etc. for meetings
Maintain kitchen/break room
Annual duties new filing folders; Annual reports with doctors, Annual registrations for locations etc.
Performs other duties as required
