Medica is currently seeking an experienced Manager, HRIS & Payroll to join our team. The Manager, HRIS & Payroll oversees the day-to-day Payroll and HRIS operations of a complex, multi-state organization. This Manager will drive planning and execution of new HR systems, system configuration changes, and system upgrades. In addition, our Manager will oversee Medica's payroll functions, ensuring that payroll is processed on time, accurately and in compliance with government regulations.

Responsibilities include:

  • Leading and managing the HRIS and Payroll teams, providing guidance and feedback to ensure high-quality work and continuous improvement
  • Oversight of the multi-state biweekly payroll process, including auditing/reconciliation procedures and anomaly troubleshooting
  • Ensuring accurate and timely processing of payroll updates; developing and maintaining strong internal controls to safeguard payroll data and ensure data integrity
  • Managing payroll tax processes and filings, including reconciliation and resolution of discrepancies
  • Preparing reconciliations and supporting documentation for financial audits, tax returns, and worker's compensation audits
  • Managing the year-end payroll process, including W-2 preparation
  • Serving as the company's subject matter expert for all areas of payroll and HRIS and the primary point of contact for escalations, driving timely issue resolution and response across the organization
  • Oversight of configuration, security and maintenance of the UKG Pro system and other systems used by HR
  • Collaborate with internal partners to understand business requirements and develop solutions to push HRIS capabilities forward. Manage HR system changes from planning through implementation, including testing and post go-live support.
  • Continually evaluate and analyze existing processes, policies, procedures, systems and associated workflows; Provide research, analysis and recommendations that lead to effective strategies
  • Maintain relationships with system vendors and external sources to enhance system knowledge and networking opportunities.

    Qualifications:

    • Bachelor's degree or equivalent combination of education and work experience in a related field, such as HR management or business administration
    • 5+ years of work experience related to HRIS systems with a minimum of 3 years of experience in configuring HRIS systems
    • 5+ years of work experience in multi-state payroll processing
    • 2+ years of experience in a leadership role
    • Experience with UKG/Ultipro strongly preferred

    This position is a Hub role, which requires an employee to occasionally come onsite to the designated office - Minnetonka, MN - for applicable heads-up work. Frequency is determined by business need as decided by leadership.

    The full salary range for this position is $96,000 - $164,500. Annual salary range placement will depend on a variety of factors including, but not limited to, education, work experience, applicable certifications and/or licensure, the position's scope and responsibility, internal pay equity and external market salary data. In addition to base compensation, this position may be eligible for incentive plan compensation in addition to base salary.
