PATH's Malaria and Neglected Tropical Diseases program is a leader in the effort to end malaria illnesses and deaths, refines and develops tools and approaches, invests in national programs, and builds data to empower national governments to pursue malaria elimination.

The Program Assistant, Malaria & Neglected Tropical Diseases (MNTD) supports an evolving portfolio of grant-funded projects related to malaria control and elimination and neglected tropical diseases. The Program Assistant will report to the MNTD Senior Project Manager, and will work closely with the MNTD Director, the MNTD Deputy Director and Senior Communications and Advocacy Officer.

We are seeking an organized and collaborative team player who brings a detail-oriented approach to supporting MNTD routine business functions and processes. Success in this position requires the ability to liaise closely with program leadership to support administrative needs, while also supporting program policy, advocacy and communications activities.

Responsibilities:

MNTD Director Administrative Support (20%)

  • Schedule regular check-ins with program leader's direct reports
  • Maintain meeting cadence, and resolve scheduling conflicts
  • Serve as point of contact for meeting scheduling requests
  • Maintain MNTD program director document review system on Smartsheet and schedule reviews on MNTDs calendar
  • Submit travel expenses within 10 business days of travel
  • Gather MNTD program updates for CMCE report outs

MNTD Portfolio Management Support (20%)

  • Support quarterly MNTD Engagement Working Group by drafting agendas for monthly meetings, tracking action items, coordinating MNTD Leadership Team to review of materials produced
  • Collate slide decks for the MNTD All-Hands quarterly meeting, coordinate with presenters on slide deck inputs as needed, share screen during meeting, draft pre and post meeting communications, and create/manage post-meeting feedback survey
  • Manage breakout rooms during the US MNTD Staff monthly meeting and disseminate presentation materials
  • Maintain meeting cadence and agenda for MNTD country check-ins, and distribute meeting notes to country lead for review and then to wider group
  • Maintain internal MNTD knowledge management tools such as the Smartsheet meeting tracker, calendar, OneNote, mailing lists, meeting participant list, Box, and MNTD Portal
  • Maintain Smartsheet recruitment dashboard and onboarding resources for new staff

MNTD Finance and Administration Support (20%)

  • Register invoices for payment, which may include requesting vendor setups in PATH's business platform, verifying/updating vendor banking details, and following up with Accounts Payable to ensure payment was successful
  • Assist staff with expense reimbursement requests
  • Support conferences, including collection of traveler information for cross-portfolio attendance at conferences, tracking updates, and assisting with conference registrations
  • Other occasional administrative support to MNTDs as needed

MNTD Communications Support (40%)

  • Upload new resources and content to Malaria program page on path.orgusing Wagtail as directed
  • Conduct bi-annual updates of the PATH Malaria external positioning decks and factsheets
  • Provide administrative and logistics support for webinars and conferences
  • Conduct monthly outreach to project communications staff to update the program's repository of project deliverables. Conduct targeted follow up as needed
  • Provide formatting and proofreading support for communications materials and documents
  • Draft evergreen tweets and retweet/like partner and stakeholder tweets daily as directed
  • Maintain the MNTD policy and external engagement Smartsheet dashboard as directed
  • Monitor the shared outlook inbox for the PATH Malaria email and triage correspondence as needed
  • Support scheduling of engagements, agenda coordination and logistics support for the Center for Malaria Control and Elimination (CMCE)
  • Coordinate with MNTD and GHP teams to identify topics for monthly CMCE meetings
  • Note take for CMCE meetings and send communications to attendees before and after meetings

Required Skills and Experience:

  • Minimum of a Bachelor's degree plus one year of directly related full-time work experience or an equivalent combination of education and experience
  • Administrative experience in nonprofit, health care, global health, research, or health-related organizations and/or similar settings preferred
  • Proven ability to take initiative, learn quickly, anticipate needs and challenges, and proactively find solutions
  • Demonstrated success working effectively while under deadlines; flexibility and adaptability to changing priorities/deadlines in a fast-paced environment
  • Demonstrated success working with all levels of internal/external stakeholders and navigating various work styles, project sensitivities, cultures, perspectives, priorities
  • Exceptional attention to detail and organizational skills
  • Excellent oral/written communications and interpersonal skills
  • Excellent copy editing, formatting, and proofreading skills
  • Must have legal authorization to work in the United States

We offer our employees a competitive salary and generous benefits. For candidates based in the U.S., the annual salary range for this position is $47,000-$58,000. The final salary is based on a variety of objective factors.
