POSITION SUMMARY

The Expeditor ensures orders are processed quickly and accurately. The Expeditor is responsible for confirming purchase orders, identifying order discrepancies, and providing logistical support ensuring that the customers receive their goods on time while providing superior customer service.

Essential Functions Statements

  • Expedite vendor purchases orders to ensure customers' required delivery dates are met, as well as meeting the contract goal of 98% on-time delivery
  • Communicate with suppliers to track Estimated Delivery Dates (EDD), Estimated Ship Dates (ESD), tracking details, and progress updates.
  • Update ERP with appropriate memos, notes, and EDDs
  • Expedite urgent items and update purchase order status
  • Inform Receiving and others of purchase orders requiring special or urgent handling
  • Expedite parts shortages and work with Buyers to initiate corrective action to remedy shortage problems
  • Investigate and coordinate fulfillment of special conditions (ex. requests for substitution of material, etc.)
  • Ensure timely receipt of acceptance documents (receiving reports, PODs)
  • Create fulfillments and receipts in NetSuite
  • Investigate and reconcile discrepancies in the areas of billing, damaged claims, and duplicate shipments
  • Red flags to Accounts Payable if there are discrepancies
  • Create invoices in NetSuite
  • Request BOLs for US Flag shipments and verify vessels are US Flag
  • Create shipping documents (CI, PL, etc.) for air/sea freight deliveries
  • Coordinate consolidated shipments with the distribution center(s)
  • Maintain POD documentation and assist with DLA Fast Pay audits
  • Process 865 RDD change request with DLA and update NetSuite
  • Assist with Accounts Receivable discrepancies and process write-offs as directed
  • Conduct post-award cost negotiations as necessary
  • Perform other related duties as assigned

EDUCATION AND EXPERIENCE

  • High School Diploma and related work experience
  • Customer service background a plus with strong organizational and time management skills
  • Government logics a plus
  • Military experience a plus
  • Material Import/Export Logistics experience a plus

COMPUTER SKILLS

  • Microsoft Office Suite
  • Google Workspace (Google Docs)
  • NetSuite a plus

PHYSICAL DEMANDS

  • Employee must be able to lift 25lbs.
