Position Overview:
The USG Office of the President isresponsible for supporting Chemonics' USG Business Line to achieve its key results, including achieving development impact across our broad portfolio of nearly 100 projects spanning all regions and technical sectors. We are looking for individuals who have a passion for making a difference in the lives of people around the world.
As a member of the operations team in the USG Office of the President, the senior associate will employ critical thinking, sound management principles, and available resources and tools to address operational needs for the Office of the President Division and across the entire the USG Business Line. The senior associate will manage administrative and operational tasks to support business line executives, meetings and events, resourcing (recruitment, onboarding, and support for new and existing staff), budgeting, and staff engagement for the division and business line, as needed. The senior associate will assume increasingly challenging operations assignments, including work on special projects or initiatives, as directed by their supervisor. The senior associate also supports proposals and new business development efforts across the USG business line.
This role requires on-site work in our Washington, DC office location as part of our hybrid, flexible work structure.
Responsibilities:
Operations and Communications
  • Ensure a smooth onboarding process by facilitating divisional orientation sessions, liaising with IT and other support units, and serving as a resource for new hires.
  • Draft divisional communications, including newsletters, meeting agendas, and other ad hoc materials.
  • Contribute to the maintenance, review, and submission of financial tools, approvals, and other corporate requests with an emphasis on accuracy, efficiency, and compliance.
  • Propose, implement, and support solutions and targeted engagement activities designed to increase staff engagement and satisfaction for the division and across the USG business line, as needed.
  • Support assigned divisional recruitment, including screening candidates, conducting interviews, completing reference checks, and serving as a point of contact for hiring managers throughout the recruitment process.
  • Update divisional and corporate level documents regularly, including organizational charts, listservs, Teams channels, and SharePoint pages.
  • Monitor and support divisional staff completion of mandatory trainings and adherence with corporate policies.
InitiativeSupport
  • Coordinate planning for divisional retreats, staff meetings, and other teambuilding events, including scheduling, drafting agendas, compiling documents, providing tech support, taking notes, and coordinating catering.
  • Build, maintain, and update business line, divisional, and departmental trackers and reports, in consultation with supervisor and/or department leadership.
  • Develop comprehensive resources to proactively share information with regional business units or other support divisions, compiling research and reports as requested.
Leadership Support
  • Compile, review, and/or submit documents, invoices, and expenses for approval and signature, ensuring compliance with company policies and relevant regulations.
  • Elevate questions and concerns as necessary for leadership response.
  • Book travel and submit expense reports on behalf of the USG president, executive vice president, and others in the division, as needed.
  • Coordinate with stakeholders to ensure the USG president and executive vice president's calendars are updated and respected.
  • Provide other administrative support to the executives or operations team as required.
Divisional support and continual improvement
  • Assist in responding appropriately and quickly to requests for support; this includes, but is not limited to, liaising with other departments or divisions to resolve operational issues and ensure staff compliance with rules, regulations, and corporate policy.
  • Save relevant materials to SharePoint files.
  • Follow up on assignment deadlines generated/managed by the operations team or external teams for strategic initiatives and projects.
  • Track USG Business Line leadership and Office of the President divisional travel and leave schedules, and coordinate backstops as needed.
  • Support in the planning and coordination of USG Business Line events, trainings, and meetings, as needed.
  • May contribute dedicated time to other workstreams and functions to achieve USG Business Line or divisional goals, including project management and technical practice contributions.
New Business Development
  • Participate on proposal teams in specific line roles of increasing complexity, including but not limited to, past performance writer, corporate capabilities writer, expatriate and/or local recruiter, section writer, cost preparer, coordinator, and subcontractor/subaward partner liaison.
Financial management
  • Contribute to financial management for the division as directed by supervisor, including monthly expense monitoring, ensuring correct allocation of expenses, providing inputs into monthly budget forecasting, and supporting ad hoc financial reporting.

Requirements:
  • Bachelor's degree or equivalent work experience
  • Minimum 2 years of relevant administrative or professional work experience, including 1 year of business administration, project management, or related experience
  • Communicates clearly and concisely in verbal and/or written communications; strong cross-culture communication and sensitivity skills
  • Demonstrated experience multitasking with attention to detail, organization, and time management skills
  • Demonstrated experience following standard practices and procedures, receiving general instruction and supervision, and contributing to projects and initiatives
  • Excellent customer service and interpersonal skills
  • Ability to maintain discretion and work with confidential and/or protected information.
  • Strong administrative skills, including knowledge of Microsoft Office applications, required.
  • Works independently and as part of a team
  • Demonstrated resourcefulness in problem solving and initiative to learn new skills
  • Previous experience working in international development and/or living or conducting volunteer work in developing countries a plus
  • Willingness to travel up to 8 weeks per year
  • English language fluency required

The Salary Range for this position is expected to be: $55,760 - $69,700.

An employee's pay position will be based on several factors including, but not limited to, relevant education, qualifications, certifications, experience, skills, seniority, performance, shift, travel requirements, and business or organizational needs.

Overtime exemption status may change due to state regulatory requirements.
