POSITION TITLE: Sales & Events Manager

DEPARTMENT: Ray and Joan Kroc Corps Community Center

SUPERVISOR: Assistant Center Director of Operations (ACDO)

FLSA STATUS: Exempt

CLASSIFICATION: Full Time, Salary

POSITION SUMMARY: The Sales & Events Manager oversees overall sales and all types of events including formal banquets, birthday parties, wedding receptions, anniversaries, retirements, trade shows, sales meetings, business meetings, conference meetings, employee appreciation events, cabana parties, charity events and virtual events to name a few. This person will report to the ACDO and work closely with other departments to ensure all productions meet expectations. The Sales & Events Manager will also ensure departmental budgeting objectives are met for banquet services and rental while also preserving excellent levels of internal and external customer service. Sales & Events Manager designs exceptional menus & continuously make necessary improvements as needed. They will also have a deep commitment to the mission of The Salvation Army, which will be evident in his or her professional life and the manner in which he or she represents The Salvation Army Ray and Joan Kroc Corps Community Center in the community.

REQUIRED MINIMUM QUALIFICATIONS:

  • Four years of experience coordinating special events.
  • Proven sales experience.
  • Organized, detail oriented and able to balance multiple events concurrently.
  • Proven experience in managing staff, budgeting, and scheduling of employees
  • Confident communicator, both written and verbal.
  • Experience in using event management and scheduling software
  • Excellent interpersonal skills both in person and by phone, with a high degree of professionalism
  • Proven experience in customer service.
  • Proficiency in MS Office applications including Microsoft Word, Excel, PowerPoint, email and web searches
  • Have TB Clearance.
  • Must be at least 21 years old.

PREFERRED REQUIREMENTS:

  • Bachelor's in food service, hospitality management or project management preferred.

ESSENTIAL FUNCTIONS:

  • Create, promote, and maintain a diverse and inclusive environment among program participants, staff, community members, church attenders, volunteers and all guests entering the Kroc Center.
  • Work with all ethnic and socio-economic populations. Practice sensitivity and awareness of diverse cultural perspectives.
  • Oversee projects and events from conception to completion
  • Effectively understand, reflect, communicate the Christian principles, mission, goals, and strengths of The Salvation Army and The Salvation Army Ray and Joan Kroc Corps Community Center

  • Must be available to work a flexible schedule including working weekends, evenings, and holidays.

  • Establish budgets and target markets, schedules, policies, and procedures.
  • Report to Director on sales results, productivity, an any staffing issues or areas of concern.
  • Coordinate budget preparation with direct reports and develop department budget.
  • Ensure that all financial targets and sales expectations are met.
  • Keeps track of team finances including check requests, invoicing, and reporting. Assigns costs to appropriate departments.
  • Responsible for inside and outside sales.
  • Comply with all health and safety regulations.
  • Design exceptional menus, continuously make necessary improvements as needed & work closely with the Kitchen Manager to develop menu packages.
  • Keep up to date with food and beverages trends and best practices.
  • Create Marketing Game Plan to include departments special events & work closely with the Marketing team in creating and distributing marketing materials (invitations, flyers, advertisements)
  • Conduct tours, host food tastings and network to sell available Kroc venues to prospective clients.
  • Coordinate with other Kroc Departments for space rental usage.
  • Utilize Event and Facility Scheduling software as part of standard operating procedures
  • Review event contracts for each event. Ensure prospective events and clients are properly screened prior to contract approval. Ensure client insurance certificates have arrived prior to event load-ins for all events
  • Ensure collecting payments associated with assigned events, if required by contract. Ensure all payments have been received prior to event load-ins for all events
  • Assist in the management of day-to-day operations and assignments of events, plan and organize work, communicate goals, and schedule/assign work. Ensure all staff is properly trained and have the tools and information needed to effectively carry out their job functions
  • Supervise the performance of the entire Events team, including completing performance evaluations.
  • Develop, review, and modify policies and procedures for department.
  • Perform other duties as assigned.

MENTAL DEMANDS:

The position requires strong administrative and organizational skills, and attention to details. The work will be in a fast-paced environment and requires changing priorities constantly while meeting deadlines. The position must maintain poise under pressure, respond to crisis situations in a calm and effective manner, and be resilient in the face of workplace stressors such as customer service complaints, maintaining the security of people and property, competing priorities, etc. This position must maintain a self-motivated and self- directed schedule, able to work with limited supervision, and in a team setting with other professionals. This position must possess the self-discipline necessary to perform repetitive tasks without lowering quality of work, exercise good judgment and be comfortable taking initiative with projects.

PHYSICAL DEMANDS:

The position requires sitting; climbing and/or balancing; stooping, kneeling, bending, stretching, crouching and/or crawling; standing; walking; manual dexterity and eye-hand coordination; use of vision. Pushing/pulling/lifting/carrying up to 40 pounds without assistance and more than 40 pounds with assistance.

COMMUNICATION DEMANDS:

The position requires talking to co-workers, clients, vendors; requires written communication to and from co-workers, clients, vendor; talking on the telephone; requires responding to written or verbal requests of co-workers, clients, and vendors; requires training/giving verbal and written instructions; requires receiving verbal and written instructions; requires writing/composing written language; requires reading; requires visiting/working at other worksites; requires communication via the latest technologies.

The position requires the ability to interact with co-workers and the public in a positive, professional manner in conformity with The Salvation Army Mission Statement. The position requires the ability to work with people of diverse backgrounds and circumstances.

DESCRIPTION OF WORK ENVIRONMENT:

Most work will be indoors or outdoors at the Kroc Center Hawaii including but not limited to the banquet, kitchen, cafe, and cabana areas. Attendance at trainings and conferences, both in Hawaii and on the mainland, may be required. Extensive travel is possible, including air travel, driving long distances, night driving, overnight travel, and extended travel of three days or more.

EQUIPMENT NEEDS:

Equipment used includes general office equipment such as computers, photocopiers, scanners, printers, fax machines, telephone (office, cell, PDA), and 10-key calculator.

Valid driver's license and insured transportation.
