The Grants Administration Specialist contributes to maintaining systems to track and monitor fundraising and grant administration activities, as well as for conducting research to identify funding opportunities.

Essential Job Duties or Tasks includes:

Grant Proposals and Reports

  • Contribute to the preparation and/or filing of proposals and grant reports.
  • Review grant contracts for compliance.
  • Monitor, update and report active grant performance status (i.e. deliverables, expenditures, extensions, payments)
  • Monitor and communicate with all relevant departments about grant reporting deadlines.
  • Track proposal and grant activities, funder meetings and correspondence in the Advancement CRM.
  • Communicate with foundation grant administrators to clarify any issues related to guidelines for filing grant reports, obtaining approval for publicized material, etc.

Research

  • Conduct research to identify opportunities for funding from foundations, government, and corporations.
  • Prepare written profiles of funding prospects.

Database Management

  • Assist with development of procedures and protocols for maintenance of grant records in the Advancement database.
  • Maintain appropriate data on Advancement's intranet page(s)
  • Gather data to contribute to the development of business plans and strategies.

Financial Reporting

  • Assist the Grants Manager and Senior Operations Specialist in reviewing grant expendituresand reporting on foundation and corporate payments..
  • Create reports to capture payments and invoicing for current and historical purposes.

General

  • Assist with communicating the Advancement policies and procedures Council-wide.
  • Carry out special projects and perform other development activities as assigned.

Education/Experience/Specialized Knowledge and Competency Requirements:

Minimum Requirements:

  • At least 2 years relevant job experience in grants administration, database management, prospect research and fundraising.
  • Bachelor's degree or equivalent work experience, Masters and/or other advanced degree considered in lieu of work experience.
  • Strong writing, and organizational skills;
  • Strong problem-solving skills;
  • Excellent skills using the Microsoft Suite, especially MS Excel.
  • Excellent skills and significant experience with relational databases, such as customer relationship management systems, , etc.
  • Strong communication skills, including proofreading and editing.
  • Ability to multi-task in a fast-paced environment with emphasis on accuracy, attention to detail and timelines.
  • Ability to work independently to meet deadlines on short- and long-term projects.
  • Positive attitude and willingness to work collaboratively with a team.

Working Conditions/Physical Effort:

This position is open to a hybrid or in-person work schedule.

We require the selected candidate to live within a 100-mile radius of our building, located at One Dupont Circle NW, Washington, DC 20036.
