Purpose of Position
To provide administrative support for the department chairs and faculty as well as manage the academic department office.

The Academic Coordinator is a direct liaison between the departments and faculty, staff, students, and the community.
Primary Responsibilities
This position will provide administrative support for two departments: the department of Physics, Geology, and Engineering Technology, as well as the Department of Chemistry and Biochemistry.

Responsibilities include:


  • In charge of departmental budget within SAP (tracks, plans, forecasts, reconciles, processes transfers, handles accounts payable/receivable, coordinates deposits, tracks fiscal needs and spending for laboratory consumables/equipment and student employment needs, etc.)

  • Responsible for department purchasing as needed

  • Input of department student class schedules into the SAP system

  • Compiling and maintaining data for reporting and accreditation purposes

  • Support with department events

  • Meeting coordination and minutes

  • Arrangement of student worker hiring and responsibilities

  • Process and retain personnel-related paperwork

  • Serves as a liaison and collaborates well with other departments, as well as students and the public. Maintains a presence in the office

  • Oversight of confidential records and correspondence for Department Chairs and faculty.

  • Assisting the Department Chairs including calendar maintenance

  • Submitting travel requests and expense reports on behalf of faculty

  • Provide assistance to the department chairs for material needed for Faculty Success and accreditation processes, and other assessment requests as needed

  • Responsible for maintaining office equipment

  • Maintaining the department web pages and social media presence
Qualifications
Bachelor's degree plus two years of related experience in office management or accounting required.

Must be proficient in MS Word and Excel. Proficiency in SAP data management system preferred.

Candidates must have excellent communication skills and a basic understanding of bookkeeping and possess budget analysis skills.
