Description

Role Summary:


As an Exhibits Associate, you will assist with the organization of exhibitions at national and regional conferences, along with other special projects. You will also assist with daily operations, and serve as a liaison with outside institutions, contractors, and departments.


What will you be engaged in day-to-day?

  • Tracking virtual and in-person conference and exhibit logistics, including any data needed for registration and exhibit management.
  • Coordinating with the project team, communications, and creative staff-including graphic designers, writers, digital outreach strategists, communications specialists, data analysts, and editors-to ensure that assigned projects and exhibit components are completed on time and within quality standards.
  • Assembling exhibit materials as needed and maintaining records in the inventory management system.
  • Providing pre-exhibit, during, and post-exhibit / conference support (will include local and non-local travel to conference locations and IQ Solutions warehouse).
  • Assisting with post-exhibit reporting.
  • Overseeing editorial duties, troubleshooting any challenges as it relates to the exhibit.
  • Updating and maintaining important exhibitor information pieces including exhibit manuals and exhibit repair list.
  • Performing quality assurance review and reviewing all quality control checklists.
  • Working closely with the IQ Solutions project team. Responding to client requests and ensuring that potential sources of difficulty are made known to senior management.
  • Preparing and delivering required status reports to project staff.
  • Contributing ongoing key technical expertise.
  • Works well with others and handles day-to-day situations with an acceptable, reasonable approach.
  • Performing other duties as assigned.
Requirements

What qualifications will help you succeed?

  • B.S. or B.A. degree, or the equivalent education or experience, plus a minimum 2-4 years of progressively responsible experience in exhibition administration.
  • Excellent written and verbal communication skills, strong organizational skills, initiative and follow-through, and flexibility and responsiveness to changing requirements and conditions.
  • Strong interpersonal skills and ability to work to deadlines are essential.
  • Ability to solve problems and prioritize needs in a variety of situations where immediate decisions may be necessary.
  • Have reliable transportation (own vehicle) and able to travel (local and non-local).
  • Ability to move/lift/install exhibit structures and boxes up to 70 pounds while bending and twisting the torso.
  • Excellent computer skills with competence in Word, Excel, and Outlook necessary.
