POSITION SUMMARY:

The Accounts Payable (AP) Specialist is responsible for a breadth of accounts payable functions, including reviewing/matching invoices with purchase orders, contracts and supplier requests, resolving match exceptions processing credit vouchers, as well as reviewing and processing expense reimbursements and corporate card expenses. The AP Specialist is responsible for understanding and complying with CFF policies and AP practices and effectively communicating these policies and practices to internal and external stakeholders. This is a hybrid role based in Bethesda, MD, and requires 2-3 days per week in the Bethesda office.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Oversight of the centralized invoices mailbox, including responding to internal and external stakeholders with payment updates as well as requesting outstanding invoices or statement of accounts.

  • Organization and daily upload of submitted invoices into the financial ERP system.

  • Work with internal stakeholders to resolve match exceptions.

  • Review and approval of supplier invoice requests, supplier invoices, and expense reports.

  • Maintenance of transaction production timelines that are compliant with applicable department-level service line agreements (SLAs) and acceptable timelines.

  • Prioritization of processing and check mailing for rush/expedited invoices.

  • Review of supplier information and check amounts to ensure accuracy in payment processing.

  • Alignment of checks to the appropriate back up or remittance document.

  • Research, reconciliation, and correction of supplier payment discrepancies.

  • Other duties as assigned.

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

  • 2+ years of experience in accounts payable processing.

  • Knowledge of accounts payable/general ledger systems and procedures in a PO matching environment.

  • Strong attention to detail.

  • Excellent organizational and time management skills.

  • Ability to communicate effectively (verbally and in writing) while providing exemplary customer service.

  • Ability to work independently and in a team; in a fast-past, high-volume environment with emphasis on accuracy and timeliness.

  • Computer Literacy -Microsoft Office (Teams/Excel/Word/Outlook/PowerPoint) and Adobe Acrobat.

  • W-9 and 1099 working knowledge.

  • Financial system (ERP) experience; Workday experience a plus.

REPORTING RELATIONSHIPS:

  • Reports to the Accounts Payable Manager. No direct reports.

WORKING CONDITIONS:

  • Hybrid (remote and in office) environment.

  • No heavy lifting required.
