Job Description

The Enrichment Program and Graduation Data Specialist provides support to the Director of School Counseling and the School Counseling Department's administrative team of Alexandria City High School. The primary responsibilities are focused in the areas of program management, data analysis, integrity and accuracy of student record data entry, permanent file maintenance and disposition, and administrative support to the Director of School Counseling.

The incumbent is responsible for the collection, organization, analysis, reporting, and presentation of data related to student outcomes as prescribed in the School Improvement Plan and required by VDOE. Specific areas of responsibility include:

  • Senior Experience work-based learning program for graduating seniors
  • Recording of all graduating reporting
  • Department publications, including: the School Profile, newsletters, Canvas, ParentSquare, and website content management
  • College application preparation and submission via Naviance
  • Applications for Summer Residential Governor's School, foreign exchange student placement, and scholarships requiring school-based nominations
  • Transcript/records requests for current and former students and graduates

This position reports to the Director of School Counseling.

Qualifications

Education: Bachelor's Degree in a job-related field.

Certificates & Licenses: None required.

Experience: Two years of experience in an administrative or technical role preferred. K-12 education experience preferred.

Essential Functions

  • Collects, organizes, analyzes, reports, and presents performance and outcome data related to on-time graduation rate and drop-out rate, academic achievement and post-secondary planning using information available from PowerSchool, VDOE, Pearson, CollegeBoard, Naviance, physical files, and other primary resources.
  • Identifies, processes, and enters substitute tests and locally-awarded verified credits and transfer credits into PowerSchool.
  • Assists with all components of the graduation process, including tracking graduation status, diploma types, and diploma seals for 900+ graduates annually.
  • Maintains a responsive, organized, efficient file room consisting of permanent record files for 4000+ students and 1000+ recently graduated/inactive students.
  • Coordinates the two-week Senior Experience internship/community service program and capstone presentations for 200-300 seniors annually; and maintains a database of 300+ potential mentors as well as a database of other employment, internship, and volunteer opportunities.
  • Coordinates publicity, recruiting, record-keeping, evaluation, and submission of Summer Residential Governor's School applications.
  • Provides technical support for meetings, workshops, presentations, reports, and written material that promotes and documents department activities, including department newsletters, web pages and media outlets using Google applications, Canvas, Mailchimp, Microsoft Word, and Excel
  • Provides direct assistance to the Director of Counseling, school counselors, and registrars with technical and administrative functions.
  • Processes and fills transcript and records requests from students, former students/graduates, and other entities; and processes senior transcripts for uploading into Naviance three times per year.
  • Processes applications for and facilitates enrollment of foreign exchange students.
  • Coordinates schedules and calendars related to the Department of Counseling and College and Career Center.
  • Serves as a member of the Scholarship Committee, with responsibilities to promote, recruit, and evaluate nomination-based scholarships and awards.
  • Performs other related duties, as assigned, to ensure the efficient and effective functioning of the work unit.
