Job Description

ENERGY SYSTEMS GROUP is hiring a Human Resources Generalist to join our Corporate Human Resources team, located in Newburgh, Indiana. The position will be on site.

The Human Resources Generalist manages, coordinates, or administers various HR related areas including benefits, database management, onboarding, new hire orientation, document processing, policy implementation, year-end processing, rewards & recognition, compliance reporting, and employment law compliance.

The essential functions of the position include:

  • Manages the HRIS including employee and manager self-service configuration. Acts as the software vendor contact for system defects and performs internal troubleshooting, and provides employee and leader training as needed
  • Manages employee life-cycle transactions, including new hire onboarding, personnel transactions, and employee terminations in HRIS; coordinates with various internal departments for transaction execution
  • Point person for HR, leaders, and employees related to HRIS questions and guidance including training and system use
  • Manages and administers various employee health and welfare benefits programs including annual open enrollment, testing, and post-enrollment auditing, ensuring accuracy and compliance, and providing guidance to employees with benefits-related inquiries
  • Ensures enrollments, life changes, and terminations are processed and communicated to carriers and payroll
  • Coordinate annual compliance filings and testing, including, but not limited, to nondiscrimination testing, ACA reporting, and 5500 filings
  • Partners with HR leader and insurance broker on benefit related items including annual renewal
  • Provides guidance to ESG employees during benefit election processing, including new hire enrollments, terminations, annual open enrollment, and life events
  • Reviews employee benefit elections to ensure accurate deduction rates; calculates deduction arrears; partners with ESG payroll department for timely processing of benefit deductions; and identifies and troubleshoots errors with third party administrator
  • Manages Affirmative Action Plans and compliance reporting
  • Manages ESG's new hire orientation program including determining content, scheduling, and delivering HR and benefits material; Makes enhancement based on employee feedback and company changes
  • Prepares employee data reports; includes recurring employee demographic reports for internal benefit information, ad-hoc employee and company requests, and external verifications of employment
  • Creates state and local pay compliance reports as needed
  • Identifies risks and/or concerns regarding regulation and legal compliance including benefits, pay, onboarding, and database setup/structure
  • Manages employee files and records management for active and inactive ESG employees including electronic, hard copy, and offsite storage
  • Coordinates with Payroll employee salary and status changes to ensure accurate and timely payroll processing
  • Acts as the backup in administrating employee new hire and exit surveys; makes recommended enhancements based on survey results
  • Manages and coordinates various employee recognition programs and engagement activities
  • Manages various human resources related invoice billing reconciliations
  • Evaluates ESG policies and procedures with HR team to ensure that they support and provide for continuous improvement and alignment with organizational goals and objectives
  • Maintains confidentiality of Human Resources Department records, information, and activities
  • Communicates and supplies information to employees as requested based on demonstrated needs
  • Backs up members of the HR team as needed
  • Maintains knowledge of trends, best practices, regulatory changes, and new technologies in human resources and employment law
  • Advises terminated employees on what to expect regarding benefits after employment ends

Your background includes:

  • Bachelor's degree in business or related field or equivalent combination of education and experience
  • Three (3) years' Human Resources experience
  • HRIS and benefits administration experience

A bonus to have:

  • Six (6) to eight (8) years' related administrative experience and/or training; or an equivalent combination of education and experience
  • ADP software experience
