JOB TITLE: Assistant Health Center Director

FLSA: Exempt

REPORTS TO: Health Center Director

INTRODUCTION

Under the supervision of the Health Center Director, the Assistant Health Center Director (AHCD) is responsible for assisting the Health Center Director with the day-to-day operations of the health center.

MAJOR DUTIES/ESSENTIAL FUNCTIONS

Essential and other important responsibilities and duties may include, but are not limited to the following:

  • Provides leadership and general direction to Unity staff on a daily basis with an emphasis on the registration and appointment staff and the medical records staff.
  • Assesses, plans, implements, and evaluates registration and medical records processes that impact the day-to-day operations.
  • Facilitates the patient flow process for the health center.
  • Handles patient complaints and resolves in a timely manner.
  • Collaborates with administrative staff to provide general services of maintenance and housekeeping.
  • Assists in the maintenance of provider schedules, staff time and attendance records, and office inventory and supply control.
  • Assists the Health Center Director in on-going evaluation of staff and services and in future planning.
  • Assists the Health Center Director in developing an orientation process and provides orientation to new staff and volunteers.
  • Provides coverage at the Center's front desk as needed.
  • Assumes responsibility for the collection and accuracy of encounter forms.
  • Conducts surveys and prepares reports to measure outcomes.
  • Prepares minutes and summaries of meetings.
  • Identifies problems and issues within all sections of the health center and provides the Health Center Director with independent assessments and recommendations for improvement.
  • Attends internal meetings (e.g. Monthly Operations Meeting), as assigned.
  • Represents Unity Health Care by attending external meetings, seminars, and functions as assigned.
  • Promotes a positive, professional atmosphere in and between the Unity Health centers.
  • Promotes occupational health and safety within Unity Health Care.
  • Assists with the supervision of the Health Center staff.
  • Maintains strict confidentiality.
  • Performs other duties as assigned.

MINIMUM QUALIFICATIONS

  • Bachelor's degree in Business Administration or related field OR an equivalent combination of education and experience which provides the required knowledge, skills and abilities deemed sufficient to prepare the applicant to successfully perform the duties of the position..
  • Two years of supervisory experience (preferably in an office practice) OR an equivalent combination of education and experience which provides the required knowledge, skills and abilities deemed sufficient to prepare the applicant to successfully perform the duties of the position..

KNOWLEDGE, SKILLS, AND ABILITIES

  • Experience with underserved population or other special needs populations.
  • Experience in working in a nonprofit primary care ambulatory health center or the equivalent.
  • Demonstrated experience in using good judgment in working with diverse populations.
  • Demonstrated ability to prioritize activities.
  • Ability to articulate the mission of Unity Health Care through his/her work.

SUPERVISORY CONTROLS

The position reports to the Health Center Director.

GUIDELINES

The position abides by all rules and regulations set forth by applicable licensing and regulatory bodies, as well as UHC policies and procedures.


PERSONAL CONTACTS

The position requires contact with staff at all levels throughout the organization. There are also external organization relationships that may be a part of the work of this individual.

PHYSICAL EFFORT AND WORK ENVIRONMENT

Some walking, standing, bending and carrying of light items such as books and paper is required.

DISTINGUISHING CHARACTERISTICS

OTHER SIGNIFICANT FACTS The incumbent must be able to balance the needs of diverse constituencies on a daily basis. The position requires: a) integrated management of all administrative support, fiscal and operational aspects of a high traffic administrative office; b) planning, organization, and control of meetings and projects; c) establishment and implementation of workflow patterns and operating standards across multiple internal departmental activities; d) project planning, training, marketing and promotions, development and implementation e) provide leadership that promotes trust, cooperation, and high levels of performance.

RISKS

All medical services shall be provided according to medically accepted community standards of care. The position's work involves everyday risk and discomforts, which require normal safety precautions typical of such places as offices, meetings, training rooms, and other UHC sites. The work area is adequately lit, heated, and ventilated.
