Job Description

ANALYGENCE is seeking an Executive Assistant to join our team supporting the Department of Homeland Security. In this role you will provide administrative and project support to the Office of Enterprise Services (OES) and Finance and Budget Division (FBD) senior management team and branch chiefs. This position requires exceptional soft skills including excellent communication, time management, problem-solving, and forward and critical thinking. Position can support a hybrid work schedule with a potential for 3 days on-site and 2 days working remotely.

In this role, you must be capable of anticipating needs and be self-motivated to advance organizational efficiency by streamlining processes and procedures, prioritizing tasks to be completed in a more productive or logical order, and learning new things or material about the work in order to do the job more effectively in the work environment.Duties include but are not limited to:

  • Schedule executive/team calls on a bi-weekly basis; assist to plan and prepare the agenda and be an active participant in the meeting - listen, take notes and follow up accordingly.
  • Gather appropriate meeting materials along withdaily and weekly read-ahead documents to preparesenior leadership for meetings and briefings.
  • Manage calendars and requirements for meetings.
  • Coordinateall aspects of travel logistics, including air and ground transportation, hotels, itineraries, etc.
  • Assist with video conferencing.
  • Post service bulletins, calendar items, director's newsletters, and other documents as needed within SharePoint.
  • Review and edit documents for grammar and content.
  • Demonstrate forward-thinking/looking qualities - operate in a manage vs monitor mode
  • Demonstrate excellent oral and written communication skills and ability to assist in drafting talking points.
  • Assist to planand executelogistics for executive-level meetings to include location, agenda, attendance, and materials.
  • Provide program supportby assisting with financial reports, presentations, graphs, tables, and charts. Ensure that dataentered withintasktools (Excel/SharePoint) is accurate and on-time.
  • Provide additional program support to all OES and FBD offices as required during peak performance periods.
  • Hybrid work environment 3-4 days onsite.
  • Position requires US citizenship and the ability to obtain a DHS suitability clearance.
  • Prior DHS work experience is desired but not required.
  • Bachelor's degree and 7-10 years of experience in executive and/or program management support; 4 additional years of experience may be applied in lieu of degree.
  • Advanced proficiency in using Microsoft Office Suite (i.e.,Outlook, Word, Excel, PowerPoint, Access, Visio, etc.) along withvideo conferencingand Teams.
  • A high degree of professionalism and strong work ethic coupled with a sense of responsibility and integrity.
  • Discretion is required in handling highly sensitive and confidential information in a respectful and confidential manner.
  • Excellent written and verbal communication skills with knowledge and ability to utilize appropriate grammatical skills at a professional level.
  • Must have exceptional soft skills including communications skills, time management, problem-solving, and forward and critical thinking.
  • Must have hard skills: calendar and email management, meeting support, and presentation design, travel, and event planning, project management, and research.
  • Ability to prioritize daily, weekly, and monthly projects and meet deadlines.
  • Ability to effectively work independently with a willingness to accept direction as needed.
  • Ability to identify problems and to use sound judgment; requires the ability to anticipate needs and be proactive in all areas of the position.
  • Proficient in Microsoft Office Suite to include Teams or similar workplace chat and videoconferencing tools.
