We are currently seeking to identify an experienced and well-rounded Project Coordinator.
Job Responsibilities/Duties:
As the PDG B-5 TA Center Project Coordinator, you will work closely with project leadership to provide support around project operations and administrative tasks. In this role, you will work across project tasks, including but not limited to supporting team operations and administrative functions; providing support to webinars and virtual (or in-person) meetings/events; supporting outreach and dissemination efforts; tracking and monitoring resource development; communicating with external audiences; and assisting with the info line email and phone.
  • Provide a variety of administrative support across all project tasks to streamline processes, create synergy, maintain communication, and improve efficiency of TA provision.
  • Work with various members of the project team to create timelines, schedules, and oversee progress to ensure goals are met on time.
  • Assist with project operations, including but not limited to contributing to and ensuring the maintenance of event data, timely reporting of project data and updates, organizing and maintaining an electronic folder and archive system, and ensuring timely communication of status and delays.
  • Work closely with the TA Supervisor and TA Specialists to assist with hosting up to 30 team meetings, online meetings, listening sessions, or webinars per month. This role will encompass managing various aspects of planning, hosting, facilitating, sharing information with the team, and promoting these online meetings and webinars including using platforms such as Zoom and Teams, sometimes with short turnaround times.
  • Collaborate with the Project Manager on the delivery of events and conferences, which may include duties such as securing event space and AV equipment, providing travel arrangements for speakers, event marketing, registration, onsite event support, copying and shipping materials, etc.
  • Develop, review, collaborate with graphic designers and editors, ensure approval of, and properly disseminate information related to PDG B-5 TA Center events and resources.
  • Provide monthly monitoring of PDG B-5 TA website for broken links and outdated resources; collaborate with ACF contractor to update the website with new and revised resources.
  • Take detailed meeting notes in preparation to share with funders and meeting participants.
  • Respond to calls and emails on PDG B-5 TA info lines.
  • Manage unforeseen timeline changes,
  • Manage and navigate unforeseen timelines related to delivery dates, flexible to short-notice changes, adapting strategies to ensure timely project completion.
  • Complete other duties as assigned.
  • Potential travel: up to 25%.
Qualifications:
  • Bachelor's Degree with 8 Years of experience.
  • Experience with MS Office Suite, Zoom Videoconferencing, SharePoint.
  • Experience providing logistics support for online and in-person meetings and conferences. Experience developing and using processes for organizing and monitoring workflow.
  • Prefer experience with early childhood policies or programs but not required.
