Overview:

We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our Chief Technology and Innovation Officer (CTIO). The ideal candidate will be responsible for performing tactical and strategic support tasks for the CTIO and team, while ensuring the smooth operation of the CTIO's office. This individual will be a liaison for the CTIO team when engaging with internal and external stakeholders. This is a remote flexible role; however, the candidate will be expected to travel within the DC metro area to support onsite CTIO events, as needed. The successful candidate will be a member of a team of Administrators that reports directly to the Lead Executive Administrator.


Responsibilities:

  • Manage the CTIO's calendar and contacts including scheduling meetings, appointments, events, and keeping contact details up to date.
  • Coordinate travel arrangements, including flights, accommodations, and transportation.
  • Attend meetings to provide administrative support, take notes, and follow up on action items, as needed.
  • Screen and prioritize incoming communications, including emails, phone calls, and meeting requests and respond accordingly.
  • Assist in preparing and editing documents, agendas, research, reports, and presentations.
  • Manages team-wide projects/programs and special initiatives as assigned by the CTIO.
  • Serve as a liaison between the CTIO, internal and external stakeholders.
  • Manage expenses, process invoices, and maintain the budget for the CTIO's office.
  • Coordinate logistics for various celebratory milestones and events.
  • Stay informed about industry events and trends, suggesting relevant opportunities for participation.
  • Collaborate and build relationships to drive results in a matrixed organization.
  • Plan virtual, on-site and off-site meetings, as well as special events, company events and team-building activities while working with the appropriate cross-functional teams.
  • Support the development of building a strong workplace culture with a focus on teamwork, collaboration, responsiveness, and fun.


Qualifications:

  • Bachelor's degree or equivalent professional experience preferred.
  • Minimum of 5 years of proven experience as an Executive Assistant or similar role, supporting C-suite executives.
  • Demonstrates excellent organizational, time management and communication skills.
  • Proficient in Microsoft Office suite, with an aptitude to learn firm specific tools.
  • Ability to handle confidential information with discretion and professionalism.
  • Detail-oriented with a high level of accuracy and attention to detail.
  • Capable of working independently, prioritizing tasks, and adapting to changing priorities.
