Position Summary

The Associate Director, Office of the Executive Director works closely with the Chief of Staff (COS), senior leadership and additional staff as appropriate. In this key role, the AD advances the management and direction of executive-level activities, functions, and PCORI-wide initiatives under the guidance of the COS and liaises with key internal peers and stakeholders to implement executive vision. The AD ensures operational efficiency and effectiveness within the OED, serves as a trusted adviser to the COS and represents executive leadership in delegated projects and initiatives designed to achieve PCORI's priorities and strategic initiatives. The AD directly supports PCORI's mission, goals, activities, and culture through planning, directing, and ensuring that priorities and plans are executed and supported through the business management, administrative, and programmatic functions of the Institute.

Duties and Responsibilities

Enables Executive Vision Implementation and Management in Partnership with COS

* Provides counsel on current and alternate strategies for lines of work.

* Ensures organizational priorities, goals, and deadlines are met through planning and direction and by facilitating information sharing and decision-making across PCORI, as needed.

* Optimizes time-sensitive decision making by senior leaders through streamlined communication, prioritization/management of Executive and Senior Leadership deliberations for input, identification and prioritization of necessary briefings, and alignment of cross-cutting workstreams/initiatives.

* Maintains continuous engagement with strategic, programmatic, and administrative peers within PCORI's departments for planning, integration and synthesis of evaluations, and advancement of budget, financial, and personnel management as well as essential executive communications.


Operational efficiency and effectiveness within the OED through Executive Office Leadership

* Oversees the effective and efficient planning and coordination of administrative operations within the Office of the Executive Director with potential supervision of personnel in the Immediate Office of the Executive Director (iOED).

* On behalf of COS, manages the operational budget and personnel processes through review and oversight of iOED finance and executive expenses and personnel budgets.

* Represents and serves as a liaison for the COS and iOED, as appropriate and warranted, at meetings.

* Supports and sustains a learning culture through leadership example and strategies; including collaboration and continuous improvement.


Operational Initiatives

* In collaboration with COS, coordinates across leadership teams and their departments, divisions, and units

* Oversight of leadership team meeting activities (collation and prioritization of issues/briefings, meeting management, action items and follow through).

* With COS, coordinates oversight of scheduling of strategic events, meetings and other requests to balance and address key organizational objectives.

* With COS, and other departmental leaders, coordinates oversight of PCORI wide policies and procedures.

* Business/administrative planning & management for iOED.

* Delegated PCORI-wide or office level projects and initiatives from COS/ED.

* Action Items/Communication.

Internal Stakeholder Liaising

* Researches, writes, edits and/or coordinates preparation of special reports, briefings and presentations; conceives, crafts, and edits messages, letters and other communications on behalf of executive leadership and the Chief of Staff.

* Maintains communication and connections throughout PCORI to facilitate early identification of opportunities and challenges to be addressed by the ED.

* Other duties that emerge or as needed.

Required Skills

Required Experience

* Bachelor's degree required with at least ten years of experience. Advanced degree in healthcare, business/public administration, or other relevant field preferred.

* Sound understanding of business operations, and organizational planning preferably in a , non-profit, government or health/health research setting.

* MS Office Suite proficient (i.e., Outlook, PowerPoint, Excel, Word). Familiarity with SharePoint and business intelligence applications (i.e. DOMO, PowerBI) a plus.
