Job Description

The Internal Communications Protocol and Events Advisor is a key member of the Internal Communications (IC) team within USAID's Bureau for Legislative and Public Affairs, and an integral part of IC's Internal Events team. The Internal Communications Protocol and Events Advisor provides operational and functional support to organize events for Bureaus, Independent Offices, and Missions across the Agency. Events will include virtual panel discussions, in-person, or virtual meetings between senior staff and foreign officials, Administrator conversations with notable leaders, agency-wide town halls, and other events as required.

This role is a full-time position working on-site within the USAID offices in Washington, DC.


Duties and Responsibilities


  • Establishes goals and objectives for internal events and recommends strategies for enhancing internal events support across the Agency.
  • Evaluates current program processes and past event data to make suggestions related to venue, IT/technology, outreach, and post-event activities.
  • Captures and distributes event-related metrics to the relevant Agency entities after individual events.
  • Develops and prepares weekly and monthly metrics reports for IC leadership highlighting key events related data.
  • Supports in-person and virtual events, working under the guidance of Internal Events Team Lead, Protocol Officer, and groups across the Agency, for engagements with USAID staff.
  • Manages various aspects of Agency events, including conceptualization, plan development, logistics, and coordination with relevant participants and venues.
  • Creates or maintains relevant tracking systems, including upcoming and historical events calendars for topics, speakers, invitees, RSVPs, and other critical event information.
  • Leads conceptualization, development, distribution, and maintenance of standard operating procedures (SOPs) for IC-driven Agency-wide internal events.
  • Creates and maintains lessons learned and after-action reports for Agency-wide events.
  • Supports day-of event execution, in collaboration with other members of the Internal Events team and relevant staff from LPA, the Agency Front Office, and others when applicable.

Qualifications

  • Ability to obtain a Facility Access Clearance is required
  • Bachelor's degree required
  • Five (5) years of experience managing special events
  • Experience gathering and analyzing events-related data/metrics and generating reports
  • Familiarity with virtual meeting platforms (e.g., Zoom for Government, Google Meet, Webex, and Teams)
  • Direct experience working on events for the US Government, foreign governments, and/or international organizations or a variety of events experience in private sector, academic or similar environments
  • Experience in handling matters related to protocol for internal events such as virtual panel discussions, in-person or virtual meetings between senior staff and foreign officials, high-level conversations with notable leaders, agency-wide town halls, and more for the U.S. Government, foreign governments, and/or international organizations.
