Nexus-Woodbourne is seeking a detail-oriented Admissions Intake Coordinator that has a high degree of attention to detail.

Position Summary: The Mental Health Admissions - Intake Coordinator is the primary contact for new clients and facilitates a seamless end to end intake process and experience for clients. This role is responsible for coordinating all aspects of client registration, admission, insurance coverage and the scheduling processes while providing guidance and ongoing assistance with all administrative functions of the reception desk.

Hourly Pay Rate: Starting at $22.00 per hour

Primary responsibilities:

Client & Referral Intake & Appointments

  • Responds and screens intake and referrals; creates client profiles in the Electronic Health Record (EHR) system.
  • Presents intake referrals to intake committee; assigns and schedules clients to therapists in a timely manner.
  • Collects pertinent client data and ensures the EHR system is accurate and updated on an ongoing basis.
  • Ensures that a qualified and credentialed Therapist is assigned and scheduled to the client's appointments.
  • Manages client scheduling by scheduling appointments, documenting and communicating cancellations and making follow up calls as needed.
  • Supports clinicians in meeting direct service goals through scheduling, documentation, and discharge processes.
  • Provides reports, data, and outcomes to leadership from intake process and EHR system.
  • Receives authorization from insurance providers to ensure new clients have payor source.
  • Handle all facets of medical record requests as needed.

Office Support & Administration

  • Greets all clients, staff and visitors in a welcoming manner while providing excellent customer care and always ensuring a high level of professionalism.
  • Opens the office when required and performs office opening activities as needed.
  • Accepts and processes payments from clients.
  • Supports therapists in discharge planning activities, communication, and documentation.
  • Manages internal and external relationships; creates reports, schedules and maintains meetings as necessary.

Company Policy, Procedure & Confidentiality

  • Disseminates incoming messages and phone calls to the appropriate staff and recipient.
  • Identifies action items or concerns that may impact the front desk; communicates and reports necessary information to the Administrative Coordinator.
  • Provides support to Therapists and Clinical Directors such as providing client information, scheduling, planning, and organizing.
  • Complies with company policies, related laws and regulations pertaining to the position and for fulfilling the obligations under HIPAA, COA, Medicaid and other state and federal entities as required.
  • Functions as contributing and collaborative team member while meeting deadlines and productivity standards.
  • Remains current on all company policies, assigned trainings and/or certification requirements.

Required Education and Licensure:

  • High School Diploma or equivalent.
  • Demonstrated experience in a mental health or healthcare office or equivalent.
  • Valid driver's license required. Must meet state regulating agency and Home Office driving requirements

Preferred Education and Experience:

  • Associates Degree in Business, Office or Medical or Health Administration; or other Healthcare related field.
  • Two (2)+ years' experience in a mental health office or medical office administration, with mental health/medical billing or in similar experience.
  • Electronic health record and healthcare billing experience in lieu of Associates degree considered.
  • Bilingual Spanish or Somali speaking is a strong asset.
