Job Overview

In support of the United States Agency for International Development (USAID) M Bureau Institutional Staff Support (MBISS) contract, the Administrative Management Specialist performs administrative functions that service and/or fulfill a number of organizational management requirements to include advising leadership, maintaining databases, preparing administrative paperwork, drafting correspondence, recommendations and reports, and providing other administrative tasks as required with minimal or no supervision to last sentence.


Responsibilities

Essential Duties & Job Functions:
  • Appling existing and new policies within a dynamic environment.
  • Identifies and advices on requirements while maintaining databases and records that reflect the fulfillment and/or status of requirements and/or systems.
  • Prepares administrative paperwork, and maintains an awareness of the status of the organization's personnel actions.
  • Drafts correspondence, recommendations, reports, and memoranda related to management and administrative programs and issues
  • Provides advice and guidance to managers and employees on questions and situations related to the administrative services provided.
  • Perform program liaison duties to address human resources administration issues that are not always susceptible to direct observation and analysis, such as developing informational materials based on knowledge of internal operations, agency human resources policies, budgetary constraints, and work priorities.
  • Coordinate management reports for rewards and performance and other HR related program services.
  • Review, analyze, and interpret human resources management requests.
  • Recommends appropriate action or suggests alternatives, and alerts managers to problems that require USAID Human Resources office intervention or correction.
  • Conducts periodic surveys of equipment and property use, recommending action as necessary to ensure economical and efficient use of equipment and property.
  • Plans and coordinates office moves; and review office staffing needs, plans, and goals to support the development of budget data and justification for review and approval.
  • Other duties as assigned.

Job Requirements

Mandatory:

  • Bachelor's Degree in a related field.
  • Minimum of six years combined education and professional administrative management and human resources administration experience.
  • United States Citizen.
  • Possess an active SECRET level security clearance.
  • Demonstrated proficiency in Microsoft Office, internet, email applications, and database applications.
  • Demonstrated ability to appropriately handle sensitive and confidential information.
  • Process oriented with demonstrated problem-solving skills.
  • Ability to professionally interact with clients at all.
