Job Description

Position Objective:

The individual utilizes the computerized radiology scheduling system and the scheduling process to schedule radiology patients at all AAHS locations.

Essential Job Duties:

  1. Demonstrates excellent customer service skills while greeting patients, co-workers, and referring physicians. In addition to effectively interacting and communicating appropriate information interdepartmentally and interdepartmentally.
  2. Efficiently completes the EPIC registration process. This includes but is not limited to obtaining and entering correct patient demographics, insurance information, scanning and obtaining applicable documentation, verifying physicians' orders correctly match with the scheduled exams, communicates financial responsibilities to patients and collects funds accordingly, and checking-in the patient to complete the registration process.
  3. Assists patients with pre-registering and scheduling within the EPIC database while using the appropriate resources and optimal utilization of procedure locations.
  4. Provides the correct prep instructions for all requiring procedures, along with asking/answering all applicable screening questionnaires and following the corresponding scheduling process.
  5. Answers all incoming phone calls within three rings with proper greeting 100% of the time. Refers calls as appropriate or takes messages regarding patient scheduling, pre-exam preparations, confirming appointment times and locations and faxes any requested reports to physicians' offices.
  6. Adheres to all compliance practices mandated by Federal documentation as well as other payor requirements, maintains registration work queues on a daily basis to ensure 95% accuracy.
  7. Prioritizes demanding work flow processes to ensure maximum productivity while maintaining a positive team setting.
  8. Maintains a thorough understanding of downtime and or/ disaster procedures, and effectively demonstrates the preform job functions during such conditions.
  9. Orients new employees to departmental procedures, polices and workflows. Responsible for training of new staff members.
  10. Demonstrates the characteristics of a role model and excels professionally in all policies, procedure knowledge, department guidelines and daily job functions.

Educational/Experience Requirements:

  • High school diploma or GED
  • Typing minimum of 35 wpm.
  • Exceptional customer service skills required. Must demonstrate excellent professional and courteous communication skills, both written and verbal.
  • Minimum of one year previous registration experience and insurance knowledge in a healthcare environment required. Knowledge of medical terminology required.
  • Basic computer knowledge required. EPIC registration knowledge is desired. Some college coursework preferred.

Required License/Certifications:

  • Must be a Certified Healthcare Access Associate (CHAA).

Working Conditions, Equipment, Physical Demands:

There is a reasonable expectation that employees in this position will not be exposed to blood-borne pathogens.

Physical Demands -

Light work. Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. If the use of arm and/or leg controls requires exertion of forces greater than that for sedentary work and the worker sits most of the time, the job is rated for light work.
