Manhattan Strategy Group (MSG) in Bethesda, MD is seeking an experienced project manager to manage federal contracts with the US Department of Education. The project manager is responsible for managing project staff assignments, forecasting and tracking expenses and invoices, and maintaining the project work plan to ensure the timely delivery of quality deliverables. The project manager is also responsible for drafting various monthly and quarterly progress reports and maintaining various tracking spreadsheets. Some light logistics responsibilities (e.g. webinar planning, conference booth management) may be included.
Job Responsibilities/Duties:
Project management
* Manage projects across the lifecycle (initiation, planning, execution, and closeout), e.g., oversee project start-up and close-out activities checklists, develop plans for task execution, etc.
* Set up and maintain project work plan to ensure timely delivery of quality deliverables to client; oversee the timeline and status for all tasks; track delivery of project deliverables and milestones
* Submit project deliverables to the client, ensuring quality control and final formatting
Resource and Financial Management
  • Manage project assignments in Unanet (MSG's internal timekeeping system) to ensure all project staff have sufficient and accurate hours; run monthly budget-to-actual reports and make forecast adjustments.
  • Manage forecast and invoice tracking for project subcontractors/consultants.
  • Manage forecast and invoice tracking for direct costs and expenses.
  • Submit monthly invoices of billable deliverables to MSG Accounting for client billing; approve invoices to client.
Data Collection and Reporting
  • Design and implement data collection surveys.
  • Manage internal databases and dashboards through formulaic, integrated spreadsheets on Smartsheet.
  • Support completion of regular status reports to the client
  • Gather project health data for quarterly meetings with senior MSG leadership.
Coordination and Administrative Tasks
  • Maintain organized documentation of all materials on the project SharePoint site.
  • Coordinate project meetings (e.g., schedule, host virtual platform, develop agenda, take notes)
  • Participate in phone calls with clients and track meeting action items and draft minutes.
  • Support webinars and meetings as needed (e.g., schedule, create breakouts, manage chat, take notes, secure meeting space)
  • Support securing and execution of conference booths.
Firm Development
  • Support MSG business development by capturing new opportunities for the firm in the education sector and contributing to proposal writing and management.
Qualifications:
  • BA or BS degree. (masters preferred)
  • Experience managing complex federal contracts. (required)
  • Expertise in project coordination, task or program management, and tracking of activities, resources, and finances. (required)
  • Strong project management skills. (required)
  • Proficient in using various forms of technology including webinar platforms, presentation tools, and Microsoft Office. (Word, PowerPoint, Excel, Smartsheet) (required)
  • Detail-oriented ability to work at a fast pace and meet deadlines. (required)
  • Ability to work independently within a small group setting. (required)
  • Relationship management acumen involving federal client staff, MSG colleagues, and employees of partnering organizations. (required)
  • Ability to work in a fast-paced environment on projects for federal clients and with public officials at all levels. (required)
  • Knowledge of federal education grant programs (preferred)
  • General experience in meeting and conference logistics (preferred)
