Job Summary

The Project Coordinator Uses skills as a seasoned and experienced administrative operations professional to manage, plan and administer the operations of a small to mid-sized academic or non-academic department or organizational unit with limited scope. May report to a chair, director, or a higher level administrative operations professional or manager. Perform short- and long-term planning for the organization. May supervise staff or students. Demonstrates good judgment in selecting methods and techniques for obtaining solutions.

The Project Coordinator serves as a key operational role in the support and oversight of UCSF's National Clinician Scholars Program (NCSP) and the Philip R. Lee (PRL) Health Policy Fellowship within the Philip R. Lee Institute for Health Policy Studies (IHPS). Reporting directly to the Program Manger and under the Manager's supervision, the incumbent is responsible for coordinating and aiding in a range of complex administrative duties, high level logistics, financial, HR, and marketing/communications that support the wide range of day-to-day program and departmental operations.

The position manages high-level logistics for program-related activities, including organizing events, courses, and meetings on a local and national scale. The incumbent works closely with the Manager and Chief Administrative Officer to monitor Scholar spending, oversee financial projects, and ensure payment of expenses and invoices for Faculty, Staff, and Trainees in NCSP and IHPS. The Administrative Officer 3 oversees program communications across various platforms, including social media and the program's website. The position interacts with internal and external stakeholders on a national level to ensure seamless execution of events that maintain and improve program functions. The incumbent assists with recruitment and HR onboarding of trainees within a large research program working among multidisciplinary groups and departments.

This is an 8-month contract position with the potential to be extended if needed. Candidate must be willing to relocate or be local for onsite visits.

Department Description

The Philip R. Lee Institute for Health Policy Studies (IHPS) is an organized research unit within the School of Medicine. IHPS oversees an annual budget of over $18.3 million and consists of a diverse group of 35 core faculty, 115 affiliated faculty, 20 trainees, and 70 Institute employees including non-faculty academics and research and administrative staff whose backgrounds include the fields of medicine, nursing, law, economics, sociology, medical anthropology, public administration, public health, pharmacology, psychology, and epidemiology. The primary purposes of the Institute are to advance knowledge of health services and health policies through basic and applied research and to contribute to the solution of health and social problems through the application of research findings to health policy issues at the national, state, and local levels.

As one of the largest research training programs at UCSF, The National Clinician Scholars Program (NCSP), which aims to offer unparalleled training for clinicians as change agents driving policy-relevant research and partnerships to improve health and healthcare. The goal of the NCSP is to cultivate health equity, eliminate health disparities, invent new models of care, and achieve higher quality health care at lower cost by training nurse and physician researchers to work as leaders and collaborators embedded in communities, health care systems, government, foundations, and think tanks in the U.S. and around the world. As the newest site in this program, UCSF started in 2019 and is now on its fourth cohort of Scholars.

The Philip R. Lee (PRL) Health Policy Fellowship Program provides post-doctoral training for highly qualified individuals with a PhD in the social and behavioral sciences, public health, public policy, and related fields, or clinician-researchers with masters or doctoral research training in those fields. Based at the UCSF Philip R. Lee Institute for Health Policy Studies (IHPS), the PRL Fellowship aims to prepare the next generation to accomplish high-impact health services/policy research. IHPS emphasizes team-based, interdisciplinary research that impacts policy and practice.

Required Qualifications

  • Bachelor's degree in related area and three or more years of relevant experience and / or equivalent experience / training.
  • Minimum 3 years of related experience.
  • Strong skills in short-term planning, analysis, problem-solving, and customer service.
  • Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and counseling skills.
  • Ability to use discretion and maintain confidentiality.

Preferred Qualifications

  • Thorough knowledge of University rules and regulations, processes, protocols and procedures for budget, accounting and fund management, and / or personnel management.
  • Knowledge of a variety of administrative operational activities such as event planning, basic fundraising processes, risk management planning, website design, accounting and payroll, and contracts and grants regulations and guidelines.
  • Solid knowledge of common University-specific computer application programs.
  • Thorough knowledge of financial analysis and reporting techniques, and / or human resources policies and procedures for staff and academic employees.
