We are seeking an Administrative Assistant (Front Office Support).

This job is located on-site in our client site at Washington Navy Yard, Washington, DC.

Job Description:

Manage access permissions for using Corporate Document Management Systems (CDMS). Position requires Office Level System Administrator (OLSA). Review and track Organizational Defense Travel Administrator (ODTA) for Defense Travel System (DTS). Provide first-level review of travel authorizations and voucher claims in preparation for approval in DTS. Provide administrative and technical support to group personnel with arranging travel and resolving issues. Manage budget reports within DTS. Generated DTS reports to track SEA 05 front office travel funds. Review and track Defense Information System for Security (DISS) through Security Officer Administrative privileges. Responsible to provide individual clearance information to outside activities for access to facilities through the DISS system.

Job Requirements:

Maintain and manage document flow for various correspondence and briefs including management of electronic serial log. Manage incoming and outgoing correspondence for review by management and maintain the electronic log. Coordinate and format technical inputs for submittal to upper management. Coordinate and manage office space and seating/unseating personnel. Point of Contact to manage assets, iPhones and software with Activity Chief Information Officer (ACIO). Coordinate and manage office space and seating/unseating personnel. Track and create Property Passes.

Mandatory Skill Requirements:

This position requires a dynamic, independent and trustworthy person able to work with minimal direction to accomplish broad objectives and conformance to policy. The successful candidate will meet the following qualifications:

  • Strong organizational skills lending to simultaneous professional management of multiple tasks.
  • Knowledge and ability to operate full suite of Microsoft Office software. Typing correspondences, memorandums and developing spread sheets
  • Knowledge of Navy correspondence, formats and guidelines

Experience and Education Requirements:

  • Ten plus years of experience with the DoD.
  • Desired: Bachelor's degree in a management related area

Security Clearance:

  • Must hold an active Department of Defense (DoD) SECRET clearance.
