About the Position

The Senior Project Associate will provide project management and business development support to Dexis Professional Services. The Senior Project Associate will facilitate project activities with efficient operational, administrative, contractual, and financial support. The Senior Project Associate will work collaboratively with Dexis' internal teams, partners, and clients; communicate clearly; and develop and maintain positive relationships internally and externally in a flexible, dynamic work environment.Functions will include budget management, activity projections, invoice reviews, new employee onboarding, employee performance reviews, consultant management, and program recruitment. The Senior Project Associate must be flexible, manage multiple high-priority assignments, and be interested in learning the ins and outs of business development and program management at a fast-paced growing government contracting firm. Opportunity for technical and cost inputs for business development activities may be requested such as client research, drafting budgets, supporting technical inputs for proposals and RFI responses, and leading recruitment efforts.

The full-time position is based in Arlington, VA and will be required to be in the office at two (2) days a week

Responsibilities

Project Management

  • Lead administration of DPS projects including personnel support, timesheet management, IT compliance, performance reviews, vendor management, and procurement support.
  • Liaise directly with project team(s) and internal support units, including Contracts, Finance, Payroll, Human Resources, IT, and Recruiting teams; may help train project teams on administrative and financial procedures.
  • Backstop Program Manager(s) in support of client and partner engagement and coordination.
  • Ensure timely submission of quality deliverables. Review and finalize project reports and other deliverables for internal and external use, which may include copyediting and formatting.
  • Help ensure compliance with Dexis processes, contractual requirements, and U.S. Government regulations.
  • Support contract start-ups and/or contract closeout.
  • Maintain positive relationships with DPS project staff and support greater staff engagement.
  • Independently identify and resolve problems, escalate as needed, and follow up to ensure resolution.

Finance

  • Prepare payment requests and documentation, including reviewing subcontractor and other invoices.
  • Review financial transactions and client invoices.
  • Track project budgets and expenditures; help prepare projections and support the maintenance of project budgets.
  • Manage tracking financials and projections, including budget and expenses in accordance with Dexis policies on a monthly basis.

Personnel Management/Recruiting

  • In conjunction with project team and HR, recruit, screen, interview, and onboard project staff and consultants, including developing job descriptions and scopes of work, reviewing CVs, organizing interviews, and ensuring the communication of Dexis' policies and procedures.
  • Recruit project personnel, write scopes of work and position descriptions, and engage directly with consultants.
  • Support candidate outreach, schedule interviews, and schedule employee onboarding.
  • Serve as point of contact to institutional support staff located at the client site.
  • Provide outstanding support to project staff by answering questions, conveying accurate information, and assisting with ad-hoc inquiries.

Business Development

  • Support Dexis' business development efforts including cost proposals and narratives, including budget development and review.
  • Support capture efforts including bid tracking, opportunity research, client research, and brainstorming for proposal strategies.
  • Draft responses to RFIs and Sources Sought Notices.
  • Support proposal coordination of bids including developing proposal calendars, bid budgets, and supporting BD team members.
  • Research, write, and/or edit various sections of DPS proposals including technical approach, management plan, and past performance.
  • Support graphics development and formatting for DPS proposals such as organizational charts, icons, text boxes, and final formatting and production.
  • Support proposal recruitment efforts by editing job ads, sourcing candidates, and formatting CVs.
  • Manage and coordinate small bid teams and proposals.

Performs other duties as assigned.

Minimum Qualifications
  • Bachelor's degree in international relations, political science, business, finance, or related field.
  • Minimum 3 years of relevant work experience, including business development.
  • Proficient in Microsoft Office products.
  • Understanding of USG procurement and compliance regulations.
  • Skills in budget development and financial tracking using Microsoft Excel.
  • Understanding of USG procurement and compliance regulations.
  • Previous experience with U.S. Government contracts (specifically USAID).

Preferred Qualifications

  • Experience working with diverse group of coworkers.
  • Knowledge of Salesforce is a plus
  • Ability to obtain a security clearance, preferred
