Night Chaperone Coordinator is responsible in hiring, training, and scheduling of Night Chaperones for all divisions of WorldStrides. Securing and maintaining night security vendors across the country to service our travelers. Ensure the highest quality experience for our students and educators within the limits of an acceptable budget and expectations. Work closely with the department Managers and Coordinators to meet the needs for all groups and events. Maintain a strong relationship with hotel and night security vendor personnel through consistent and meaningful contact. Effectively communicate WorldStrides' student and educator service philosophy and goals to all personnel groups.

Essential Functions

  • Establish and maintain relationships with hotel and night security vendors for designated regions across domestic areas of operation.
  • Maintain proper reporting for assigned areas.
  • Work with Director of Field Operations to forecast Staffing Needs for season.
  • Coordinate with Support Teams to ensure accurate management of Night Chaperones.
  • Participate in pre-season training sessions with new and existing hotels as needed throughout the tour year.
  • Maintain a system for quality control including providing feedback to vendors based on internal performance metrics.
  • Manage scheduling of Night Chaperone Department across all domestic regions.
  • Maintain strong relationships with supplier contacts through positive and professional phone conversations.
  • Assist internal teams as needed to resolve on tour issues.
  • Function as a contributing member of the Field Operations Division through effective communication and assisting others as needed.
  • Collaborate with Director on initiatives and adjustments in operating procedures to account for changes in market trends, company goals, and budget parameters.
  • Audit internal operating systems for accuracy on a continual basis.
  • Communicate directly with Finance team members regarding payments and auditing of invoices as required.
  • Collaborate with department Director on adjustments needed to account for changes in market trends, company goals, and budget parameters.
  • Travel to research and visit new properties; maintain positive relationships with both existing and potential vendors
  • Maintain clear communication with applicable internal teams.
  • Continually seek out ways to improve internal systems for efficiency and usefulness.
  • Maintain flexibility and willingness to take on additional duties as products and or process needs change.

Standard Responsibilities

  • Report directly to FT NC Coordinator
  • Facilitate and/or perform training for staff members as requested.
  • Establish and maintain an accurate a training manual covering all functions of area of expertise and up-to-date process documentation.
  • Foster timely and meaningful communication with suppliers, all departments and team members, and with your direct manager.
  • Maintain knowledge of company policies and procedures.
  • Support company policies and management decisions with a sense of urgency and professionalism.
  • Maintain a good working knowledge of all responsibilities within the department.
  • Seek out and participate in internal and external programs that facilitate personal and professional growth.
  • Document self-evaluations and deliver self-performance appraisal to department Director as part of WorldStrides Professional Journey
  • Identify and discuss personal and professional growth goals with the department Director.
  • Lead by example within the Operations Department through effective communication and assisting/mentoring others team members as needed.
  • Work closely with other staff members for efficiency opportunities and provide support on other projects and tasks as requested.
  • Support Field Staffing assignments during select periods throughout the year.
  • Where, and when applicable, support cross-functional operational work.
  • Attend and contribute to Department meetings.
  • Responsible for ADP/Payroll and Concur for department.
  • Live in DC Metropolitan Area. This is not a remote position.
