Provide administrative support to the Chief Officer and others and perform diversified executive assistant functions.

Duties and Responsibilities:

  1. Under limited supervision, coordinate and track work flow, schedules, and projects through the division and hospital to ensure paperwork is complete and/or appropriate and follow-up services are provided in a timely fashion. Coordinate schedules and supervisor's appointments and arrange for rooms, if necessary. Coordinate the processing of approval forms to eliminate bottlenecks and expedite prompt action. Answer office telephone, screen, and direct calls.
  2. Prepare the agenda, meeting package, attend meetings and take minutes for the following meetings:
    MGHS/MGH Board, Medical Executive Committee, Patient Quality & Safety Committee, Quarterly Medical Staff and Maryland General Community Health Foundation.
  3. Handle large amounts of sensitive, confidential information concerning professional and personal performances of staff and confidential information concerning hospital affairs in a discreet manner.
  4. On a daily basis, receive mail from internal mail room. Screen daily mail for matters of importance and distribute material to appropriate individuals. Bring priority items to supervisor's attention. Respond to correspondence on own initiative.
  5. Provide research and administrative support to special projects. Prepare data on projects and studies such as updating procedure manuals and analyzing division activities. Assist the Executive in overseeing projects in progress throughout the hospital and report the progress on a regular basis.
  6. Perform executive functions to assist supervisor including making decisions within authorized scope or directing the decision making to the proper authority. Establish systems and processes that ensure the effectiveness and efficiency of the Department.
  7. Staff Executive on multiple hospital-wide initiatives and committees. Determine committee participants, plan agendas and track progress. Participate in organizational initiatives as required.
  8. Maintain established division and hospital policies and procedures.
  9. Demonstrate the use of equipment in a safe and proper manner. Assist in care and maintenance of department equipment and supplies. Review orders for hospital maintenance, contracts and various supplies.
  10. Enhance professional growth and development through in-service meetings and educational programs.
  11. Perform other duties as directed by supervisor.
  12. Demonstrate support and compliance with Maryland General Hospital's mission, vision, values philosophy, goals, objectives, and policies.

Qualifications

Education:

  • Associate degree in secretarial science or equivalent education / experience.

Experience:

  • Typing at 60+ wpm. Transcription, bookkeeping and mathematical aptitude. Excellent PC, word processing, typing, spreadsheet, and analytical skills. Verbal and written communication skills essential.
