Job Title: Proposal Coordinator
Work Location: Vienna, VA & Remote

Do you have several years of professional experience and want a role with a defined career pathway? We are seeking a skilled and motivated Federal Proposal Coordinator to join our dynamic team. As a Proposal Coordinator, you will play a crucial role in driving our success in securing federal contracts and grants. The ideal candidate wants to develop their proposal management skills through on-the-job training and will have experience coordinating and managing deliverables and groups on tight schedules. This role requires exceptional organizational skills, attention to detail, interpersonal skills, and the ability to coordinate cross-functional teams to deliver winning RFIs/proposals.

Key Responsibilities:

  • Proposal Development: Support and lead the end-to-end RFI/proposal development process, collaborating with internal subject matter experts, technical teams, and business development professionals to produce compelling and compliant proposals for federal solicitations.
  • Compliance Management: Ensure adherence to solicitation requirements, guidelines, and evaluation criteria while maintaining a keen eye for accuracy and consistency throughout the proposal.
  • Proposal Strategy: Collaborate with business development and executive teams to develop winning proposal strategies that address customer needs and differentiate our solutions from competitors.
  • Proposal Schedule and Milestones: Develop and manage proposal schedules, setting realistic milestones for RFI/proposal development and ensuring timely completion of all deliverables.
  • Content Development: Oversee and contribute to the creation of persuasive RFI/proposal content, leveraging best practices, past performance, and case studies to substantiate our capabilities.
  • Proposal Team Coordination: Support and lead proposal kick-off meetings, color reviews, and strategy sessions to ensure a unified approach and effective collaboration among proposal team members.
  • Proposal Production: Support the production process, including document formatting, printing (if applicable), and delivery, to ensure the final proposal package is professional and meets all submission requirements.
  • Proposal Repository: Support the maintenance of a centralized proposal repository, organizing proposal content, and lessons learned for future reference and continuous improvement.
  • Risk Management: Identify potential risks or challenges during the RFI/proposal development process and work with stakeholders to mitigate these risks effectively.
  • Post-Submission Activities: Facilitate debrief/lessons learned sessions with stakeholders to gather feedback and insights to improve future proposals.

Required Skills/Experience:

  • At least 3 years of relevant experience in federal proposal management or related fields, with a demonstrated track record of managing stakeholder interactions and performing detail-oriented activities which support the creation of work products.
  • Government Knowledge: Basic understanding and willingness to learn about the federal procurement process, regulations, and key agencies (e.g., GSA, DHS, USDA, DoS).
  • Proposal Tools: Proficiency in relevant proposal management software and tools, such as Microsoft Office Suite, SharePoint, and other platforms.
  • Communication Skills: Excellent written and verbal communication skills, with the ability to craft clear, concise, and persuasive documents.
  • Leadership Skills: Proven ability to lead and motivate cross-functional teams, fostering a collaborative and results-driven environment.
  • Detail-Oriented: Exceptional attention to detail and a commitment to delivering high-quality proposals on tight deadlines.
  • Project Management: Strong project management skills to prioritize tasks, manage multiple proposals simultaneously, and meet deadlines.
  • Problem-Solving: Ability to think critically and creatively to address challenges and develop innovative solutions.
  • Interpersonal Skills: Strong interpersonal and negotiation skills to build relationships with internal and external stakeholders.

Preferred Skills/Experience:

  • Familiarity with Shipley or other proposal best practice methodologies.
  • Understanding of technical or engineering subject matter.

Preferred Education:

  • Bachelor's degree in Business, Marketing, Communications, or a related field. Advanced degrees or certifications in proposal management or related disciplines are a plus.
