The Coordinator, Program Operations plays an essential role on the Program Operations team, using discretion and independent judgement to support a broad range of operation-related initiatives by providing wide-ranging administrative and operational support to the team, and liaising with other departments to support routine administrative needs and daily activities. The Coordinator supports the team and manages significant projects independently. The coordinator also supports the Samya Stumo Fellowship Program. The Samya Rose Stumo Memorial Fellowship for Global Health is for exceptional young women change-makers who have inventive ideas that look to revolutionize global health. The fellowship supports the entrepreneurial ideas of young women who may otherwise have never had the opportunity. ThinkWell will offer a platform to inspire fellows, incubate their ideas, and launch their careers. The Coordinator is cross-culturally proficient and adaptable to partnering with remote and global staff working across time zones. This position reports to the Senior Program Manager.

What You'll Do:

  • Works with Program Managers to provide routine administrative support for daily operations, project management, and general functioning of a portfolio of investments, including grants and contracts.
  • Keeps pertinent information accurate and up to date for reporting and analysis to support organizational processes and compliance with donor regulations.
  • Coordinates contractual management, including maintaining tracking of invoicing and deliverables, receipts of required reports, and monitoring expenditures. Coordinate the end-to-end contract and grant processes with internal parties (contracts department) and external parties (such as vendors, consultants and grantees).
  • Provides basic financial management support, including assisting with basic team budget management, procurement and payment of consultants, vendors, and other services.
  • Draft and coordinate consultant, vendor, and sub-recipient contracts, including maintaining tracking of invoicing and deliverables, receipts of required reports, and monitoring expenditures.
  • Provides support for knowledge management activities, including designing tools and systems for knowledge management and information tracking, creating and maintaining internal filing systems, maintaining online communications site(s), and developing communications materials.
  • Support project coordination for the Samya Stumo Fellowship Program, including communication with fellows, fundraising activities, information sharing for the fellowship board members, and other administrative support as needed.
  • Support the Program Operations team in the annual planning process.
  • Partners with Senior Program Financial Analysts in crafting financial forecasts and snapshots as needed to support portfolio management.
  • Prioritizes conflicting needs and handles matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressure.
  • Provides logistical support for the planning and execution of meetings and conferences.
  • Assists with travel logistics for conferences and events, including visa procurement if necessary.
  • Assist with meeting logistics, including scheduling, drafting of agenda, sending appointments, taking and circulating notes, and following up on action items after meetings.
  • Identifies opportunities to improve the quality and efficiency of the program operations and implements improvements as directed.

Requirements
  1. BS/BA and 3-4+ years experience or graduate degree and 2+ years experience;
  2. Extremely organized, conscientious, customer service and detail oriented;
