JobSummary: TheSr. Conference Manager is responsible for managing in-person and virtual meeting/conference activity across Manhattan Strategy Group (MSG), ensuring that logistics activities are high quality, on time, and on budget. The individual in this position will provide support for staff on specific logistics projects as needed, as well as input on logistics proposals if needed.

Job Responsibilities/Duties

  • Assist in developing agendas (e.g. scheduling sufficient time for events, set-up/transition from plenaries to breakouts, etc.)
  • Prepare cost proposals, projected budgets, and final budgets for meetings and proposals.
  • Monitor conference/meeting expenditures across multiple projects within project-approved guidelines and budgets.
  • Conduct initial surveys of meeting sites to ascertain availability within contract guidelines and requirements for each event.
  • Prepare meeting/conference planning timelines.
  • Negotiate with and secure meeting/conference sites or virtual platforms and other vendors including AV equipment, Conference Apps, and other technology as required.
  • Conduct site reviews and prepare site recommendation(s) to project staff and clients.
  • Establish conference requirements for rooms, food, meeting facilities, audio-visual equipment, and presenter/attendee information.
  • Supervise on-site meeting/conference staff, organize and oversee on-site registration, and work with hotel staff to ensure delivery of contracted services.
  • Coordinate efforts with the hotel, convention center, AV, and catering personnel.
  • Hire and train temporary registration staff for conferences and meetings as necessary.
  • Respond to client, presenter, and participant questions and problems that occur before, during, and after an event.
  • Review and approve vendor invoices and expense vouchers for project sign-off and submission to accounting.
  • Oversees budgeting and resources.
  • Submit monthly travel, activity, and financial reports.

Qualifications:

  • Ability to work in partnership with supervisor and project staff while maintaining a positive and effective attitude.
  • Experience managing in-person, virtual, and hybrid meetings.
  • Excellent negotiation skills, with consideration for all parties
  • Excellent interpersonal skills with internal and external personnel
  • Ability to engage people and be assertive with grace.
  • Ability to plan, organize, and pay attention to detail.
  • Excellent time management skills
  • Ability to fully negotiate hotel/vendor contracts from scratch and renegotiate as necessary.
  • Certified Government Meeting Professional (CGMP) or Certified Meeting Professional (CMP) or similar certifications, preferable
  • Ability to multi-task efficiently and effectively
  • Ability to follow procedure and to apply judgment when no procedure exists-common sense approach.
  • Travel required.
  • Ability to work well under pressure while maintaining a calm, collected, and helpful demeanor.
  • Experience working in government consulting is a plus.
