The Opportunity

Ortho Clinical Diagnostics is seeking a Global Executive Assistant who will support multiple executives within a global, fast-paced, regulated health care, diagnostics, medical device, and/or manufacturing organization. This person will be instrumental in proactively driving, supporting, and facilitating all aspects of the day-to-day operational and administrative activities of three diverse leaders - responsible for Global Brand and Marketing Communications, Transfusion Medicine Business, and Clinical Labs Business. At the core, the Executive Assistant is an extension of leadership, meaning that communications, collaboration, and decision-making are paramount. This position is based in Raritan, NJ.

The Responsibilities
  • Proactively coordinates day-to-day operational and administrative activities, including, but not limited to: managing calendar as well as preparation for highly visible meetings; manages and communicates; upcoming timelines, deadlines, and expectations; supports preparation for meetings (agenda, pre-read materials, location, attendees, etc); organizes and schedules meetings and offsite events; coordinates training, travel arrangements, and processes expense reports; organizes and prioritizes the incoming flow of administrative work (actions items, due dates, etc); and captures minutes, action items, and tracks/reports on progress and following-up

  • Develops reports, presentations (PPT), correspondence, and other communication materials for leadership meetings, status reports, Town Hall and other presentations, Quarterly Operating Review presentations, Ortho Intranet articles, organization charts, etc.

  • Daily (extensive) calendar and people demand management, meeting attendee preparation and action follow up

  • Global/domestic travel scheduling, meeting coordination, and expense report management

  • Supports recruiting and onboarding efforts for the three organizations

  • Partners with team members on budgets, purchase orders, office supplies, NDAs, and other financial, HR, and compliance processes

  • Partners with internal cross-functional team members and external parties as necessary to ensure timely completion of projects and activities

  • Tracks metrics for key initiatives to understand the impact and suggest "course-correction" if warranted; prepare dashboards and reporting for management and communicate to management on project development, potential issues or adjustments, and results as they arise

  • Partners with appropriate executive and Head of GB&MC on responding to crises or challenging situations quickly and professionally

  • Prepare, edit, and compile communications and presentations on behalf of the Executive

  • Support key business and functional events including leadership meetings and conventions through planning and event management

  • New hire onboarding (order company assets, space planning, etc)

  • Support team members as requested by Executive(s)

  • Perform other work-related duties as assigned.

The Individual
  • Minimum High School Degree; Bachelor's Degree preferred or equivalent experience required

  • 10+ years of experience supporting multiple executives

  • Must be a self-starter requiring minimal oversight who can expertly manage simultaneous projects, priorities, and people and has demonstrated experience managing multiple executives.

  • Advanced Office 365 knowledge, including Outlook, Word, PowerPoint, Excel, Teams, and SharePoint

  • Organization, prioritization, flexibility, and problem-solving are core elements

  • Exceptional verbal and written skills with the ability to engage all levels of the organization - proficient in a variety of styles, from creative to professional to technical to education and more

  • Occasional travel- less than 20% of the time
