Facility Systems Analyst- Building Ops & Maintenance

The Facilities Systems Analyst is responsible for performing complex administrative duties for the Engineering Department including but not limited to supporting: finance tracking, computerized maintenance management and space planning department initiatives. Interacts regularly with department leadership, project managers, Operation managers, department committees, hospital finance, legal and construction purchasing. Oversees internal and customer implementations of Computerized Maintenance Management Software (CMMS) and Computer Assisted Facility Management software (CAFM). Create assets, PM schedules, tasks and insure all documents and information is correct. Performs reporting, asset management and work planning. Meet with contractors, consultants, and construction and operations staff to collect data, gather requirements and to train new system users.

Responsibilities
    Supports Operations management by maintaining, reviewing, and reconciling Operations finances for consistency and accuracy. Initiate and monitor purchase orders, invoice reconciliation and final Operations monthly accounting.
  • Extensive and expert use of the hospital's Lawson system. Activities include generating requisitions, PO amendments, finance reports, and general ledger reconciliation. Trains and supports managers in Lawson and AP workflows, and maintains department Lawson 'how-to' guide.
  • Modifies and maintains CMMS data to support asset data analysis. Works independently with Project Construction and Facilities Operation management to assist in program development by gathering information for assets and other new and old data and information needed to allow the asset data system to function effectively; creates new codes for the above areas mentioned and when necessary modifies asset characteristics and descriptions.
  • Provides daily user support including routine troubleshooting and system and data maintenance for asset data analysis.
  • Assists with the establishment and maintenance of user profiles within the CMMS, e.g. security settings and access controls for each program user.
  • Assists with establishing equipment records; associates the manufacturer's maintenance recommendations with the equipment records. Defines, compiles, and incorporates maintenance activities in the CMMS system. Provides guidance and support to end users in the operation, use, and capabilities of the CMMS.
  • Coordinates with NCH Operations Managers/Supervisors to efficiently and accurately enter data into the system. Collects and enters asset data into the CMMS and related databases from various sources including direct field investigation; documents such as as-built drawings, invoices, and O&M manuals.
  • Generates standard and ad-hoc reports using the standard report structure of the asset data system, and other end user reporting tools, provides information for the preparation and distribution of periodic standard location and equipment reports to support maintenance teams and management requests.
  • Maintains CAFM database, updating as hospital environment dictates.
  • Performs quality control checks of asset data to ensure the accuracy of all data within the systems.
  • Provides input to NCH Operations Management on system needs, the performance of asset data software and hardware, and improvements to the asset data analysis system.
  • Provides in-house training to Operations trades staff for proper use of CMMS system.
  • Maintains professional networks and attends training sessions and conferences as necessary to advance skills
  • Performs other duties as assigned.

Qualifications

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

Education:

  • Associate's degree in business administration or Data Base management or related field with an information technology emphasis

Skills and Experience:

  • Two years of related experience including significant responsibility collecting, entering, and verifying data; supporting users; analyzing workflows and data; and reporting; or any satisfactory equivalent combination of education and experience that would demonstrate the necessary knowledge, skills, and abilities required.
  • Experience integrating Space Management; Operations and Maintenance; Capital Planning and Project Management, Energy and Utilities.
  • Experience as a system administrator for CMMS software (i.e. TMA Systems, or similar systems) and CAFM software.
  • Reasoning, analytical and problem-solving skills
  • Ability to train others with lesser skills
  • Ability to interpret and understand policies and procedures and relate them to others
  • Knowledge of project management and hospital maintenance function
  • Computer skills including MS Office
  • Critical thinking and analytical skills
  • Customer service orientation
  • Self-motivated, organized, detail-oriented and Team orientation
