Summary

You are a highly organized, A+ multitasker who thrives on being the person responsible for keeping the trains running. The Communications Associate will serve as a key support to the communications team helping to advance ZERO TO THREE’s brand awareness and reach. The Communications Associate will report to the Director of Strategic Initiatives and work closely with colleagues in the communications department and across the organization. The position offers the opportunity to take on a variety of strategic communications responsibilities and grow your communications skills.
 

Essential Duties and Responsibilities

  • Provide project management support for the development and implementation of integrated communications campaigns promoting a variety of ZERO TO THREE initiatives
  • Coordinate the development of internal email communications
  • Compile media clips and assist communications managers with media monitoring and development of media lists
  • Maintain speaker engagement and partner workflow and databases
  • Aid in maintaining editorial calendar
  • Assist with updating content on the ZERO TO THREE primary website and microsites
  • Oversee compilation of campaign assets and maintenance of documents for all communications projects and initiatives
  • Organize and maintain digital asset management system, including uploading photos and videos, tagging, and assets selection for communications projects
  • Assist in preparation of project and campaign reports for internal and external audiences  
  • Manage scheduling, logistics and set up for team and project meetings, including video recording and livestream events
  • Manage day-to-day administrative functions for the Communications Department such as coordinating schedules and travel, maintaining files, and handling all invoice and contract requests
  • Performs other duties as assigned for the purpose of ensuring the efficient and effective functioning of the project.
Essential Skills and Experience
  • Bachelor’s degree and 2-4 years related experience
  • Exceptional organizational skills, keen attention to detail and the ability to manage multiple responsibilities effectively against timelines
  • Proactive team player with a positive attitude and high level of energy able to work in a fast-paced environment
  • Demonstrated ability to provide administrative and project support for a team
  • Strong interpersonal skills
  • Experience with website administration, including WordPress and content entry
  • Excellent writing and verbal communication skill
  • High degree of accuracy and attention to detail
  • Strong work ethic and a customer service orientation, as well as coordination skills
  • Experience with e-mail marketing systems, such as Act-On, Pardot, or equivalent
  • Experience with project management tools, such as Wrike and Airtable
  • Must be proficient in using Microsoft Office suite and social media platforms; ability to learn new tools and software as required to fulfill the position’s duties
  • Basic photography and video editing skills, graphics design capabilities a plus

Education

Bachelor’s degree (B.A.) in advertising, communications, journalism, research, or related field

Physical Requirements

While performing the responsibilities of the job, the employee is frequently required to use finger dexterity as well as sufficient hand dexterity to use a computer keyboard and be capable of reading a computer screen. Also, may need to remain seated for long periods of time, have the ability to perform repetitive motions, hold a writing instrument, communicate verbally and hear well enough to detect nuances and receive detailed information. The employee may be required to walk, grasp objects, push or pull objects, bend, squat, reach, stand, or kneel.

Working Conditions

The work conditions described here is representative of those an employee encounters while performing this job. Depending on work location, the incumbent will typically work indoors in a heated and air-conditioned office, with a mixture of natural, incandescent and fluorescent light with low to moderate noise levels or be subject to working conditions conducive to a home office. When travel is expected, the incumbent will be exposed to outside environmental conditions during those times.
