Job Description

Trade Center Management Associates is a private sector building management and hospitality service provider at the Ronald Reagan Building and International Trade Center. Currently Trade Center Management Associates is seeking a dynamic Sales Administrative Assistant to complete our Sales/Event Planning Team. As the Sales Administrative Assistant, you are a key contributor to the organization's development and growth. In addition to supporting the overall administration for the Sales Managers, Event Planners and Event Coordinators, you will drive sales productivity by generating proposals, contracts, estimates of charges and other support. 

Job Responsibilities:

  • Provide administrative support to the Sales & Event Planning Department
  • Prepare sales-related documents throughout the sales process (i.e proposals, contracts, and banquet event orders).
  • Assemble information packages (i.e brochures, promotional materials).
  • Create and maintain computer and paper-based filing and organization systems for records, reports, and documents. Compile copy, sort, and file records of office activities, business transactions, and other activities. 
  • Act as Liason between Sales Manager(s) and clients in Sales Manager's absence. 
  • Respond to inquiries and exercise decision making skills to direct caller's request. Accurately record messages for staff and distribute the written messages to the staff members in a timely manner. 
  • Rotate in the front desk coverage for receptionist's break times.
  • Perform any other job related duties as assigned. 
Required Qualifications:
  • 1-2 years' experience as an Administrative Assistant or in a Sales Support function is preferred. 
  • Hospitality, Sales Operations, Business Analysis, Program Management, Management Consulting or other related financial/commercial role is a plus.
  • Excellent oral and written communication skills as well as strong organizational and interpersonal skills
  • Proficient in Microsoft Word, Excel, PowerPoint, Outlook
  • Experience with hospitality sales database i.e Visual One, Delphi or Access preferred
  • Strong financial, analytical and cross group collaboration skills
  • Schedule may vary, some weekends and evenings may be required
  • Bachelors degree from an accredited school is required
