Who We Are Looking For: A  Project Assistant (PA) / Logistics Specialists  that likes to lead, learn and operate in excellence.

This Project Assistant (PA) / Logistics Specialists (LS) is responsible for gathering and entering data from electronic and hard copy grant applications in preparation for Federal grant applications processing. The PA or LS will also assist the operations team supporting other data processing activities for grant reviews such as quality control, screening, scanning, copying, collating, paneling, and filing documents.  Grant reviews are most often held in Washington, DC area hotels, in the field through web-assisted telephone conferences or a combination of the two.

RESPONSIBILITIES:
  1. Complete accurate data entry of electronic and hard copy grant application information into databases
  2. Document and communicate data discrepancies to peer review or project manager
  3. Download, screen, process, and panel grant applications according to Federal government security and privacy requirements
  4. Provide administrative support, such as responding to email or phone inquiries, maintaining electronic filing system, and scribing for meetings 
  5. Monitor, track, and maintain applications received
  6. Perform quality control checks throughout the application process
  7. Create and revise spreadsheets, correspondence, forms, templates, checklists, and reports.
  8. Photocopy and/or scan applications, correspondence, and reports for grant review distribution
  9. Participate in project meetings
MINIMUM QUALIFICATIONS:
  1. Applicants should possess an Associate’s degree and a minimum of two years’ experience in document processing, data entry, proofing, quality control, or other administrative functions performed with minimal errors
  2. Experience with Federal Grant Reviews is a plus
  3. Excellent computer skills and proficient in the use of Microsoft Office (Word, Outlook, Excel, Powerpoint) and SharePoint
  4. Excellent written and verbal communication skills are essential
  5. Some knowledge or understanding of the government travel and reimbursement process a plus
  6. Must be organized, detail-oriented, and comfortable working under strict deadlines
  7. Some evening and weekend hours required
  8. Must be able to lift up to 25 pounds
  9. Must be able to obtain Public Trust security clearance
