About the Position:

Reporting to the Executive Director of Mason Recreation, the University Life (UL) Finance and Business Services Manager provides financial management, financial transaction support, and business services support to a diverse portfolio of University Life units at Mason, with primary reporting responsibility to service the operations related to Mason Recreation. This position also serves UL Finance and Business Services and strives to be a trusted and strategic partner with UL units, with the goal of exceptional service that aligns with best practice. We accomplish this goal with experience and expertise in our service areas, increasing policy compliance and reducing overall risk.

The Finance and Business Services Manager oversees the financial management and business operations of a cluster of units within University Life. The scope of management includes budget development, revenue generation, oversight of expenditures, event sponsorship, memberships, personnel, operating and facility reserve accounts, and financial processes.

The Finance and Business Services Manager develops and implements training programs for professional staff related to finance and business service functions. This position manages foundation accounts and oversees the maintenance of the REC alumni database. This position supervises the Coordinator for Business Services for Recreation, as well as Fiscal Specialists within the UL cluster. The Finance and Business Services Manager works closely with the UL Marketing and Communication team’s MarCom Manager in support of business services efforts.

Responsibilities:

  • Fiscal Management:
    • Serves on and engages with the UL Finance and Business Services team;
    • Responsible for annual budget development process, AE five year plan reporting, and capital planning. Creates expense and revenue forecasts, and oversees business practices and creation of related reports for unit cluster;
    • Identifies, evaluates, and initiates new revenue generating opportunities for units;
    • Monitors annual budgets for cluster units;
    • Develops and presents an annual report summarizing and analyzing the financial status of unit budgets;
    • Serves as a liaison between the University Life unit cluster and UL Central, the Budget Office, Comptroller, Central Audit, and General Accounting;
    • Ensures oversight of daily reconciliation of direct expenditures, open commitments, wages, salaries, fringe benefits, and revenue for the aforementioned budgets;
    • Creates and reviews monthly financial reports to ensure adequate controls and efficient use of financial resources to ensure a positive net between operating expenses and revenue;
    • Supervises management of credit card finances, eVA purchases and compliance, and employee travel expenses;
    • Oversees cash handling and deposits of departmental revenue and provides ongoing monitoring of revenue payments;
    • Processes journal vouchers;
    • Responsible for position control. Responsible for the implementation of Internal Controls;
    • Manages facility funds;
    • Approves ePAFs;
    • Oversees the monitoring of revenue payments to include special events, lane rentals, and outside rentals for the RAC, Skyline Fitness Center, Aquatic and Fitness Center, Club Sports, Competitive Sports, West Campus, The EDGE and Outdoor Adventures;
    • Remains knowledgeable regarding all aspects of the Fusion software, Touchnet, and Freedom Pay and their implementation within the department’s operation; and
    • Ensures PCI compliance.
  • Personnel Management and Collaboration:
    • Oversees the REC Coordinator of Business Services and cluster Financial Specialists; and
    • Responsible for setting goals for performance and deadlines in ways that comply with the university's plans and vision and communicate them to subordinates; organizing workflow and ensuring that employees understand their duties or delegated tasks; monitoring employee productivity and providing constructive feedback and coaching; receiving complaints and resolving problems; maintaining timekeeping and personnel records; passing on information from upper management to employees and vice versa; preparing and submitting performance evaluations; hiring and training new employees; ensuring adherence to legal and university policies and procedures and undertaking disciplinary actions if the need arises.
  • Community Outreach Efforts:
    • Manages the Fundraising and Alumni Relations plan for Recreation;
    • Serves as Chair for the Recreation Alumni Relations Committee;
    • Acts as the Administrator for all Recreation Foundation Accounts; and
    • Works with the MarCom Manager on fundraising, sponsorship, and alumni events and materials.
  • Other Related Department Duties:
    • Commitment to making an active and meaningful contribution to the university's well-being initiative;
    • Supports and takes an active role in departmental special events;
    • Participates in the collection and analysis of quantitative and qualitative data to support departmental improvement; and
    • Performs other related duties as assigned.

Required Qualifications:

  • Bachelor’s degree in related field or equivalent combination of education and experience;
  • Professional experience, typically obtained in two or more years, with budgeting and revenue generation and cash handling;
  • Experience working with computers and related information systems and database software;
  • Experience providing effective customer service;
  • Knowledge of budgeting, accounting, and auditing functions and principles;
  • Knowledge of alumni relations, revenue generation, and fundraising;
  • Knowledge of general business practices;
  • Demonstrated knowledge of professional office procedures, budget development and management, accounting concepts, Internal Controls, Procurement policies, Human Resources policies, and financial reporting;
  • Ability to research, investigate, analyze, reconcile, and evaluate data;
  • Ability to develop complex analysis tools for financial projections and other purposes;
  • Ability to anticipate and identify problems, make recommendations and suggest solutions; and
  • Ability to form relationships with alumni and potential sponsors; work effectively with diverse groups of people and handle multiple tasks.

Preferred Qualifications:

  • Knowledge of University and State policies and regulations.
