General Description

The Property Assistant is an on-site position that works with the Property Management team to support the day to day operations of a high functioning office. Responsibilities include general office management, contract administration support, invoice processing, maintaining and organizing files and records, taking and distributing minutes for weekly meetings, and managing various building events for the properties and staff.

RESPONSIBILITIES

  • Perform general office management duties that support the on-site property management office to include: ordering office and kitchenette supplies and maintaining proper inventory levels; provide support for copiers and IT issues, set up meeting calendar appointments, and assist with filing/organizational needs for the office.
  • Scan/file documents on common shared drives and maintain organization.
  • Create purchase orders in Nexus Payables and process invoices per workflow approvals.
  • Prepare and distribute contracts for signature and executed contracts for records.
  • Perform general administrative duties as assigned, such as, copying, updating/distributing weekly reports and meeting minutes, printing monthly financial reports and annual operating budgets.
  • Maintain contact lists and on-site lanyard contact cards.
  • Develop and maintain relationships with building staff, tenants, and contractors.
  • Attend department meetings and record meeting minutes. Report on the status of any problems or projects at assigned properties.
  • Assist the team with routine building and site inspections. Note deficiencies, suggest and implement solutions.
  • Manage tenant retention activities and building staff events.
  • Create and keep supply of signs and marketing materials as needed.
  • Assume other responsibilities and duties as required.
  • Carry a personal cell phone with TPC email for after hours.

Job Requirements

Prerequisites

  • Bachelor’s or Associate’s degree (preferred).
  • 1-2 years’ experience in a support position, preferably in property management, construction or related field.
  • Must be detailed oriented, organized, and possess strong computer skills.
  • Proficient with Microsoft Office Suite and Adobe Acrobat.
  • Must possess or be willing to seek and obtain a Top Secret security clearance, including full scope polygraph, and be a U.S Citizen.
