Purpose of Position
Reporting to the Associate Director of Housing Operations, the Housing Assignments Coordinator provides room assignments, billing, and database administration for University Housing at Northern Kentucky University.

The Housing Assignments Coordinator is the database administrator for the housing and occupancy management system database and the primary contact in University Housing for billing and charges. Serves as the primary point of contact and liaison for all constituents regarding housing assignments, billing, and occupancy management and serves as a secondary contact for access control.

The Housing Assignments Coordinator processes student housing contracts and pre-payments, assigns students, assesses charges for room and meal plans, works with Residence Life staff to reassign students due to roommate conflicts, responds to concerns from parents, facilitates room change requests, manages meal plan change requests, and refers students for maintenance requests.

The Housing Assignments Coordinator also facilitates questions from, and answers to, students and parents asking about housing and housing applications. The Housing Assignments Coordinator serves as one of the primary contacts for recruitment of students to University Housing and attends recruitment events both on and off campus.

In consultation and partnership with the Associate Director of Housing Operations and the Housing Operations Coordinator, the Housing Assignments Coordinator sets aside emergency spaces and works to coordinate show rooms, both year-round and for special events. The Housing Assignments Coordinator supervises student staff at the front desk of the main University Housing office.

Works directly with the International Student Support and Services, Athletics, Latino Programs and Services, African-American Programs and Services, the All-Card Office, Dining Services, Student Accessibility Services, Admissions, Student Financial Assistance, Business Services, IT, Student Account Services, and Facilities Management.
Primary Responsibilities
  • Performs day-to-day updates to housing and occupancy management system and housing access control system database; Assigns and re-assigns students based on need, request, and other factors; provides a high level of customer service for all constituents; accepts and processes all room change request forms; inputs all housing assignments into housing and occupancy management system and manages the interface with SAP, All-Card, and dining, and maintains accurate student accounts; reconciles student accounts for accurate billing and credit to the correct accounts.

  • Processes housing/dining contracts with pre-payments; serves as an ex-officio member of the Contract Review Committee for University Housing; processes all cancellations and withdrawals and assesses fees appropriately; creates rates/refund schedules for the University Housing office and Business/Auxiliary services.

  • Corresponds with all applicants regarding University Housing processes and sends notice of assignment, roommate information, and meal plan requirements, as necessary.

  • Keeps accurate records and files for each student assigned to housing, including maintaining archival information for the requisite amount of time.

  • Supervises student staff at the front desk of the main office for University Housing, including setting policies and procedures, ensuring sufficient staffing levels and coverage, and supervising student staff and holding them accountable to their roles.

  • Reconcile and submit reports regarding assignments, occupancy, and the housing and occupancy management database.

  • Performs other related duties, as assigned and as appropriate.
Qualifications
  • Bachelor’s degree preferred;
    • Equivalent is a High School Diploma with 3 years of professional experience managing student housing and occupancy.

  • Experience working in an office, prefer experience working in a university housing office and working with housing assignments at the collegiate level: prefer experience working with a housing and occupancy management software database.

  • Preferred degree programs include: Business management, computer science, information technology.

  • Must have exceptional customer service skills, both verbal and written; must be able to defuse stressful situations without causing undue harm to the University or student; should have good knowledge of Microsoft Office Suite.
