Purpose of Position
The position will welcome and attend to the needs of guest and colleagues as the first point of contact for the Office of the President. Will provide general office support by staffing the front desk in the Office of the President and assist with scheduling and organizing events hosted by the President's Office as well as Board of Regents meetings.

The position will provide daily management of confidential materials and prepare routine correspondence as well as assist the Executive Assistant to the President in maintaining the President's calendar and in making travel arrangements. Will maintain shared folders, filing, and archiving for the Office of the President and assist in coordinating needed paperwork/documents for the Office. Position will also coordinate meeting logistics and distribute agendas, maintain office supply orders and office technology, and perform other duties as needed.
Primary Responsibilities
  • Welcome/attend to the needs of guests and colleagues as the first point of contact for the Office of the President including through email, office phone, video calls, and walk-ins.
  • Provide general office support by staffing the front desk in the Office of the President including assisting with scheduling and organizing events hosted by the President's Office as well as Board of Regents meetings.
  • Provide daily management of confidential materials, phone conversations, meetings and prepare routine correspondence and materials.
  • Assist the Executive Assistant to the President in maintaining the President's calendar and in making travel arrangements.
  • Maintain shared folders, filing, and archiving for the Office of the President and assist in coordinating needed paperwork/documents for the Office.
  • Coordinate meeting logistics and distribute agendas as needed; maintain office supply orders and office technology.
Qualifications
An associate's degree and 2 years of work experience as an Executive Assistant or a comparable role.

  • Prior work experience in the public sector or a non-profit or college environment desirable
  • Must be highly computer proficient with knowledge of a variety of software programs, including Microsoft Office (Excel, Word, PowerPoint) and SharePoint
  • Excellent interpersonal and verbal communication skills
  • Highly organized with excellent scheduling skills
  • Project management skills desirable
  • Strong customer service skills
  • Ability to work within a culturally diverse environment
  • Exercise tact and diplomacy in handling sensitive situations
  • Work with a high degree of professionalism
