Job Description
Job Title: Medical Record Technician
Position Type: Contract
Location: Warm Springs, MT, United States

Job Description:
  • Performs diversified clerical duties requiring the application of procedures and instructions related to confidential, and legal patient clinical records in accordance with standards established through statutes, regulatory agencies, and hospital policy.
Major Duties or Responsibilities:
  • Medical Records Function: 80%
  • Prepares folders and maintains records of patients.
  • Assures new records meet certain minimum content standards and licensure requirements for continued care and treatment of the patient.
  • Provides consistent organization of documents in the Master Medical Record and ensuring pertinent data is consolidated and filed appropriately to the correct patient medical record.
  • Maintains and utilizes a variety of electronic health records.
  • Collects, collates compiles, maintains, and analyzes data from daily census reports, diagnostic sheets, patient aftercare plans, discharge summaries, physician orders, and various other sources for completing reports through the use of personal computer database skills.
  • Analyses Discharge patient records.
  • Examines content and verifies completeness following policies and procedures of the hospital to facilitate future treatment of the patient, to meet record keeping requirements of the master patient files and to close out discharged patient records.
  • Forwards completed records to MSH Warm Springs Campus for long-term storage.
  • Maintains and operates office equipment including but not limited to fax, copy machine, printer, and shredders.
  • Clerical and Receptionist Support 20%
  • Answers the telephone and provides information to authorized personnel.
  • Pages personnel, forwards call, takes and delivering messages by using knowledge of all department area assignments.
  • Research incoming admissions by contacting the MSH Warms Spring Campus HI department to locates charts, commitment cards, and previous admission information as needed
  • Sorts in-coming mail to all the departments and distributes to appropriate staff.
  • Check department for needed supplies, sends in store order to warehouse, put away supplies when delivered.
  • Performs related work as required including relief for FMHF admissions and assistance @ MSH HIM department.
Physical and Environmental Demands:
  • This position works in an assigned area of an acute care psychiatric facility. The person in this position must be able to work under the pressure of deadlines and establish priorities for the extensive workload.
  • Physical hazards presented are primarily the possibility of injury to self or others due to the sometimes unpredictable and violent behavior of patients.
  • Physical demands include the constant use of eyes, hands, wrists, and elbows while using a personal computer and long periods of sitting.
  • Periods of stress may result from a constantly ringing telephone and constant interruptions to answer questions and provide explanations but is considered as day-to-day routine.
Knowledge, Skills and Abilities (Behaviors):
  • Must have a thorough knowledge of office practices and procedures.
  • Must have knowledge of record keeping, filing, letter writing, procurement, and professional communication procedures.
  • Must be able to work independently to organize workload to maximize efficiency and meet multiple priorities.
  • Must be able to work well with multiple professions and the public.
  • Must be able to communicate clearly and be able to maintain confidentiality when dealing with sensitive material.
  • Must be proficient in the use of standard office equipment (facsimile, copy machine, etc.), including a personal computer and common software including Windows, Word, Excel, Outlook and Access.
  • Must have exemplary customer service skills.
  • Must have good interpersonal skills and be able to respond to stressful situations in a manner that helps the other individual de-escalate.
Minimum Qualifications (Education and Experience):
  • High school diploma or equivalent
  • Certified ability to type 30 wpm provided through Job Service.
