The Project Administrator is responsible for providing day-to-day project support for project managers, engineers and other staff members. The Project Assistant is responsible for providing day-to-day project support for the Project Managers. This position will learn firsthand about project phases, tasks, activities, and operations.

Position Summary

The Administrative Assistant will work with members supporting the GIC Afloat contract in ensuring compliance with DoD and Intelligence Community Security Directives. This is a full-time position based out of the M.C. Dean Chesapeake, Virginia office. There is potential for the position to evolve and have some degree of workplace flexibility. Daily duties and responsibilities will be:

  • Prepare visit authorization requests
  • Initiating, reviewing, and processing Personnel Security Clearances and Periodic Reinvestigations for the DoD
  • DISS administrative functions - submit visit authorization, incident reports, in-process, indoctrinate, debrief, out-process employees, submitted CSR's, and generating reports
  • Submit access requests for surface ships in the United States and abroad
  • Submit access requests for private shipyards in the United States
  • Process Common Access Card (CAC), DBIDS, and other badge requests
  • Communicate status updates to Project Leaders and other individuals within organization
  • Perform security briefings/debriefings (SF 312, NATO, new employees and employee terminations etc.)
  • Manage document control database (SIMS) for incoming and outgoing classified material. Ensure all classified material is properly accounted for, controlled, transmitted, transported, packaged, safeguarded, and destroyed in accordance with the NISPOM and contractual requirements
  • Assist employees with completing forms and training required to travel abroad
  • Submit official foreign travel clearance requests via the Aircraft and Personnel Automated Clearance System (APACS) and the Synchronized Predeployment and Operational Tracker - Enterprise Suite (SPOT)
  • Other duties as assigned including Change Order Notification (CORN) submissions
  • Document/Article management

Position / Candidate Requirements

  • Clearance Requirements: Must be eligible to obtain a Secret clearance
  • Education and Progressive Experience
    • High School or GED and a year of the following experience
  • Requires absolute discretion, demonstrated judgement, problem resolution skills, and a background of working in a multidisciplinary team environment
  • Ability to work in a team environment. Must be a team player
  • Must work with a sense of urgency, integrity, and ethics
  • Must be flexible - adapt to changes in the work environment and maintain a professional demeanor
  • Strong oral, written, and presentation skills and the ability to relay technical information to others
  • Demonstrated time management and organization skills to meet deadlines and quality objectives
  • Experience in MS Excel, Word and PowerPoint Skills is a plus
  • Work and Travel Requirements:
    • Will be required to work at our Chesapeake, VA location. There is potential for the position to evolve and have some degree of workplace flexibility
    • Local Northern Virginia Travel or San Diego, CA for corporate visits and training requirements

Desired Position / Candidate Requirements:

  • High school diploma or GED and one year relevant experience
