Position Objective This position is responsible for the daily running of jobs starting with the generation of quotes, checking in product and handling issues from site. Ensures all jobs are closed out appropriately and that all punch items are consistently completed in a timely manner.
Essential Functions
Generate quotes and determine fair and competitive pricing for jobs $2,500 or less.
Provide assistance with quoting jobs as high as $5k, seek PM approval prior to sending out.
Enter all storage quotes and follows up appropriately.
Proactively manage jobs on a daily basis with a focus on scheduling, shipping/receiving of product, missing product and minor issues from site; communicate with service provider and customer daily and timely.
Obtain, understand and document important project information to ensure project is set up for success; aware of jobs scheduled today/tomorrow.
Process purchase orders for both customers and service providers.
Maintain software system to ensure the most up to date job/invoice information is reflected.
Understand and proactively use website reports to prioritize work (NTI, Firm Schedule, Estimated Start Date, etc.).
Provide detailed information using PPM planning documents/checklists when appropriate.
Understand, identify and work to resolve issues from site and refer appropriate information to Senior Project Coordinator and/or Project Manager in a timely manner.
Participate in planning calls and assist with providing information for daily progress reports for larger, multi-day jobs or jobs with multiple vendors
Close out jobs with punch or missing information and follows up appropriately.
Create a punch for all return trips and provide follow-up support for ongoing punch items.
Assist with researching and solving problems with service provider invoices.
Assist with billing questions for both internal and external customers to ensure proper invoicing.
Knowledge/Experience Minimum Education: Graduation from an accredited high school or possession of a high school equivalency certificate/ GED
Minimum Experience:
1 year customer service experience
Have working knowledge of Microsoft Office Suite (Excel, Work, Outlook)
Demonstrated ability to work with clients at all levels in an organization
Ability to use a variety of office equipment, such as laser printer, photocopier, fax machine, telephone, etc.
Ability to use software programs, such as Microsoft Excel, Word, Outlook, Access, Project, etc.Preferred Qualifications:
Preferred Qualifications Education: Bachelor’s Degree from an accredited college or university
Experience: One year performing administrative support work involving project management within a service industry.
Working Conditions/Physical Requirements Light Work: Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. If the use of arm and/or leg controls requires exertion of forces greater than that for Sedentary Work and the worker sits most of the time, the job is rated for Light Work.
