Position Description
The Facilities Management and Planning Office Support Associate reports to and is responsible for assisting the Director of Facilities Management and Planning in the effective operation of the Facilities Management and Planning Department. The Office Support Associate also assists the Plant Operations and Maintenance supervisor and the Custodial Department supervisor.
The Office Support Associate must project a professional image through in-person and phone interaction with all internal and external customers. Duties include general clerical, administrative and project based work. The Administrative Assistant will be a highly organized self starter with the ability to work independently on daily assignments and long range projects and assignments, completing both under deadline. This position will be held by an energetic person willing to take initiative while performing administrative and office support activities for one Director and multiple Supervisors and also function as part of the Facilities Management and Operations Team.
Education and experience: high school diploma supplemented by computer/word processing and business courses, with related college courses highly desirable; 3 years secretarial experience and training which provides the required knowledge, skills, and abilities. Two years of post-secondary education is preferable.
Skills and abilities: Computer operation skills; customer service and purchasing experience; good organizational skills; ability to type minimum rate of 40 wpm; ability to communicate with tact and diplomacy and establish good working relationships with staff, students, and outside organizations; ability to work independently in the absence of detailed instructions. Must have some experience and skill in the use of software programs such as MS Word, Excel, Access, Familiarity or willingness to learn PowerPoint, PhotoShop and Visio would be a plus.
