| GENERAL PURPOSE The Meeting Planning Specialist for the Training Division’s Enhanced Foreclosure Prevention/Intervention Trainings is responsible for all aspects of meeting planning from site selection and contract negotiations through on-site full event management for a full range of training events varying in size from 15 to 500 participants. This is a grant funded position. ESSENTIAL DUTIES/RESPONSIBILITIES * Conduct, coordinate and prepare site research and reports for training events. * Negotiate and prepare hotel contracts to full execution for training events, coordinate travel reports and prepare guidelines for training event with corporate travel agency. * Prepare and coordinate the following logistical arrangements for training events with site staff including: transportation, room set-up grid; audio visual, food & beverage, telephone/computer/fax lines, meeting room assignments, and on-site set-up needed for training staff. * Obtain and provide specifics for event newsletters. * Travel to events throughout the country and perform on-site logistical functions, address customer needs and concerns, and carry out all actions necessary to deliver exceptional customer service. * Work closely with other Training unit personnel to ensure the delivery of quality products and service with excellent customer service to internal and external customers. * Review, process, and reconcile hotel and training faculty’s invoices for payment. * Assist the Meeting Services Manager in the preparation and analysis of budget estimates; monitor event budgets; utilize systems for efficient processing of contracts, purchase orders, and invoices related to the production of training institute and events. * Assist in the maintenance and enhancement of a comprehensive database, including the inputting of events in coordination with registration, production and curriculum.
