Job Description

THOR Solutions is seeking a highly motivated Administrative Assistant to support the Naval Undersea Warfare Center, Division Newport's HR Department. This individual will be responsible for assisting in the development, review, and reporting of the following;

  • Organize, compile, update personnel records and documentation.
  • Manage and update HR databases with different information such as new hires, terminations, sick leaves, warnings, vacation and days off.
  • Prepare, manage and store files for HR policies and procedures.
  • Answer employees' questions and provide requested information.
  • Maintain schedule and coordinate calendar activities.
  • Assist recruiters in posting job ads on careers pages and processing received resumes.
  • Create reports for senior management.
  • Help organize and manage new employee orientation, on-boarding, and training programs.

Typical Responsibilities: The candidate's responsibilities may include (but are not limited to) performing or supporting the following actions:

  • Technical writing.
  • Record and distribute meeting minutes.
  • Assemble, formulate and proof program reviews and weekly status reports.
  • Update training distribution list.
  • Track and report on all training requirements.
  • Update meeting minutes and schedules.
  • Assist with data calls, compile monthly metrics and provide monthly updates.

Security Clearance Eligibility Required: This position requires a DoD Secret security clearance. A qualified candidate must either already possess an active or interim Secret security clearance (preferred); OR be eligible for a Secret security clearance upon hire.

Worksite: Full time onsite at the Naval Undersea Warfare Center Division Newport (NUWCDIVNPT) in Newport/Middletown, RI. Occasional telework may be permitted.

Typical Physical Activity: Desk/computer work in an office environment. May also involve: repetitive motion.

Typical Knowledge, Skills, and Abilities:

  • High school diploma/GED equivalent, relevant vocational certification, or relevant military A or C school diploma.
  • At least three (3) to five (5) years of recent, relevant experience providing administrative support including tracking schedules, taking meeting minutes, assisting in program reviews, and compiling weekly reports.
    • Experience obtained in a U.S. Navy/DoD/Federalenvironment is highly preferred.
  • Proficiency with common productivity software including Microsoft Office products, Microsoft SharePoint, and Adobe Acrobat.
  • Excellent communication skills.
