Job Description

We're looking for our very first Internal Events Operations Associate to join us in our New York-based HQ to focus on our internal events around the globe. These events can range from 50 to 2,000+ attendees with a focus on providing spaces where our teams can be productive, learn and share new ideas or celebrate past accomplishments. You will have an impact across the entire company as you build this role from the ground up with support from the group head. This will include creating sustainable processes and procedures for our teams to ensure their meetings are successful.

What You'll Do:

  • Manage the logistics for all internal meetings; acting as the main point of contact for the business unit
  • Provide logistical event support including, but not limited to, venue and vendor research, site inspections, contract negotiations, menu selection, decor, staffing, entertainment, etc.
  • Oversee event budgets and final reconciliations as well as the procurement process with manager support
  • Be the primary point of contact for venue or vendor negotiations and contracting
  • Build a catalog of event venues and partners around the globe to ensure Datadog can leverage its spend responsibly
  • Conduct market research to help build proposals for event venue selection
  • Provide real time support to event attendees
  • Partner with Procurement, Legal, FP&A, Travel and various other stakeholders
  • Minimal travel may be required for onsite events (less than 20%)

Who You Are:

  • Comfortable hitting the ground running. You'll be expected to absorb a lot of information to start and then turn that into a process that is scalable and sustainable
  • Someone who can build and communicate processes for an ecosystem of users who have been "doing it their own way" for a long time relying on your experience with change management
  • Someone who maintains a professional, flexible "can do" level of service
  • Someone who has experience with Hotel Room Blocks, Food & Beverage, Audio Visual and Decor
  • Capable of saying "no" when needed while also having experience with finding creative ways to say "yes"
  • Eager to learn, grow, and contribute with a positive, team-player attitude
  • Flexible and adaptable, remaining calm under pressure
  • Exceptionally detail-oriented with a high standard for accuracy
  • Able to communicate clearly and concisely in writing
  • Resourceful and proactive with strong problem-solving skills; knowing when to ask for help
  • Able to work non-traditional hours if needed for events
  • Ability to interact well and build professional relationships through networking and collaboration while maintaining a high level of customer service, diplomacy and discretion
  • 3-5 years of relevant experience in events (including college internships)
